This role offers the opportunity to be cross trained in both records management and licensing. You'll play an important part in directing, supporting, and assisting the management, coordination, and daily operations of the City Clerk's Office. Your primary responsibility will be to maintain our records retention and management software, ensuring City compliance with the Colorado Open Records Act (CORA). Essential Job DutiesWhat You'll Do in This Role: Records:
- Manage records requests and the City's compliance with the Colorado Open Records Act (CORA).
- Configure, maintain, and enter data into multiple software programs; train and advise staff on city-wide software applications.
- Maintain webpages and related content for the City Clerk, Board meeting agenda, and Boards and Commissions.
- Serve as the primary staff member for compiling, preserving, and maintaining the City's historical records, making them accessible for staff and the public; oversee the Records Management program in compliance with state law, City Charter, and the City Code.
- Supervise and schedule part-time records aides, coordinating and assigning projects, and provide interdepartmental interaction and assistance with records retention.
You'll Also Cross-Train in Licensing and Learn How to:
- Manage the business license application and renewal process, providing efficiency and timely support for businesses.
- Deliver excellent customer service for licensing inquiries, including electronic and in-person communications, and manage public outreach initiatives.
- Generate licensing statistics and reports; record business-related certificates of insurance.
- Assist in recording and transcribing City Council meeting minutes; management and regulation of liquor licenses; preparation of non-Council agendas and minutes; and management of City Elections.
- Support Municipal Court processes.
Minimum QualificationsYou Have:
- A high school diploma or GED equivalent.
- A minimum of two years administrative experience, preferably in records management.
- Experience in supervision, training, and performance evaluation.
- Commitment to ongoing professional development and staying up to date about applicable licensing laws, trends, changes in the business community, and records retention and release.
- The ability to achieve a Certified Municipal Clerk certification.
- Strong verbal and written communication coupled with a dedication to exceptional customer service.
- Proficiency in data entry, correspondence preparation, and maintaining confidentiality of records and reports.
- Intermediate knowledge of Microsoft Office Suite.
