Position: Personal Assistant to a College Student Location: New York City, NY Schedule: Full-Time (40 hours/week guaranteed; flexibility required based on academic calendar and appointments) - NOTE: This is not just a Monday-Friday role, one weekend day is essential, preferably Saturdays. For example, workdays may be M-W, F, Sat, with Thursday and Sundays off. Compensation: $40/hour, DOE Overview A highly capable and driven college senior is seeking a full-time Personal Assistant to serve as a dedicated academic and logistical support partner. This individual is managing a rigorous academic workload, including a senior thesis, while also navigating aspects of chronic illness and daily life. The ideal candidate will operate as a professional peer-functioning more like a Chief of Staff-supporting her academic progress, managing scheduling and communications, and helping to ensure daily structure and accountability. While some physical assistance is required, the focus is on high-level executive support, organization, and academic management. This is a pivotal year, and the student is looking for someone who can match her intellect, professionalism, and ambition while helping to streamline every aspect of her day-to-day life. Some assistance will be needed for ADLs (Activities of Daily Living). You will be trained by her current assistant, who has worked in this role for nearly two years and will support a smooth transition. Ideal Candidate Profile
  • Exceptionally organized, detail-oriented, and consistent
  • Strong academic and professional background; able to operate at a high intellectual level
  • Excellent verbal and written communication skills
  • Tech-savvy; comfortable using digital tools to track tasks, documents, and calendars
  • Emotionally intelligent and socially aware, with the ability to offer support while remaining a partner
  • Able to manage and prioritize multiple projects and timelines simultaneously
  • Calm under pressure, proactive, and solutions-oriented
  • Maintains discretion and respects personal boundaries
  • Comfortable supporting an individual navigating chronic illness and occasional emotional or physical setbacks
Key Responsibilities Academic & Administrative Support (Top Priority)
  • Track and manage academic deadlines, project timelines, and assignment deliverables
  • Provide hands-on support with research, outlining, editing, formatting, and document organization
  • Schedule meetings, office hours, and liaise with professors, advisors, and tutors as needed
  • Attend classes and take notes, if requested
  • Ensure university communication is timely, professional, and well-coordinated
  • Maintain detailed academic calendars and to-do lists
  • Help streamline academic workflows and reduce cognitive load
Executive & Life Management
  • Manage scheduling for appointments, classes, meetings, and social events
  • Handle email correspondence, follow-ups, and calendar syncing
  • Track personal and academic expenses; assist with reimbursements and payments
  • Assist with travel planning, ensuring accessibility when applicable
  • Coordinate logistics related to housing, maintenance, and outside vendors
  • Maintain a structured, efficient daily routine
Medical & Health Coordination
  • Schedule medical and therapy appointments, confirming accessibility as needed
  • Organize health records, referrals, and prescriptions
  • Submit and track insurance claims, reimbursements, and appeals
  • Communicate with healthcare providers and manage follow-ups
Personal Support (As Needed)
  • Light assistance with dressing, grooming, or mobility tasks (e.g., helping with a walker or wheelchair), as needed.
  • Occasional help with simple meals or personal organization tasks
  • Pet care (small dog)
