The Administrative Assistant performs general administrative duties assigned based on departmental needs. This position supports academic or administrative offices by answering phone calls, greeting visitors, directing appropriate responses (e.g., scheduling appointments, crisis response, staff, other campus office) and managing calendars and meeting schedules. Duties and Responsibilities • Provide a welcoming environment for students, professionals and others utilizing the Counseling Center via the telephone and in person (customer service). • Communicate with students, faculty and staff on campus as well as parents and external stakeholders, responding to questions related to services, scheduling or general information. • Schedule a variety of appointments and meetings for a multidisciplinary clinical team; enter confidential data utilizing the Counseling Center database and scheduling program. • Answer incoming calls, transfer calls to individual staff members or their voicemails when indicated or forward callers to various campus offices utilizing Microsoft Teams. • Utilize on-line file sharing software to view and manage selected files. • General electronic health record maintenance (e.g. scanning, processing intake and online appointment requests, assist with records releases, enter and update client information, assist with scheduled purging). • Prioritize and assist with staff requests (copying, miscellaneous data entry, etc.); prepare and/or proof reports, correspondence and other documents using application software including Microsoft Word, • Use Excel and PowerPoint (as needed); prepare outreach materials and supplies for events, assist with promotion and assist staff facilitating the event. On occasion may be asked to attend/staff outreach events during work hours. • Provide backup coverage when co-worker is out of the office.
