The Records Coordinator provides a broad range of record and customer services within the Graduate School, among academic and administrative units, and to students. The individual in this position will work closely with leaders and coworkers in the department, Office of the Registrar staff, and IT Services to maintain student records, identify and implement efficiencies, and provide training, advising, and support to staff in academic departments. The Records Coordinator is responsible for an administrative overview and maintenance of all Graduate School student records, operations and processes for all states of the graduate student life cycle beginning with registration and concluding with graduation. Duties and Responsibilities 1. Serve as the Graduate School's auditor of records including enrollment (reactivations, registration conflicts, adds, drops, audits and credit changes), grades, program requirements, transfer of credits, temporary withdrawals, advancement of doctoral candidacy, defense dates, independent studies, continuation course work, program planning forms, comprehensive exams, name change requests, extension of times, grade changes, and graduation. 2. Serve as the primary point of contact for data, information, and history regarding various graduate student records matters. Serve as primary contact of the Graduate School for the Office of the Registrar, the directors of graduate programs, and students on matters dealing with student records, student registration, and graduation audits. 3. Provide services for enrolled graduate students, to include advising on requirements and guidance regarding procedures for projects, theses, essays, and dissertations. Research errors and student record issues and make decisions regarding course of action to correct errors and mitigate negative consequences for students, departments, and the University. 4. Provide user support and instructional materials and training for department DGSs, administrative staff, and students. Responsible for the supervision of student employees, which includes but is not limited to hiring, training, disciplinary actions, ending the student's assignment, etc. 5. Manage records form and process review. Identify and implement efficiencies in Graduate School records processes and form development. Coordinate with IT Services to implement and update DocuSign forms. 6. Access and utilize reports on registrations, enrollment, statuses of graduate students, and graduation information. 7. Receive dissertations, theses, professional projects and essays; ensure compliance with format requirements; work with ProQuest and the Raynor Memorial Libraries for the electronic publishing of these documents. 8. Manage application processing for the Inter-University Exchange Program. 9. Provide administrative and data entry support for the Assistant Director, Graduate Financial Aid including processing I-9 forms for new graduate assistants, coordinating graduate student research travel awards, and sending financial aid decision letters. 10. Prepare and sign most of the correspondence to enrolled students, and all the correspondence regarding graduation. Provide directions to student workers when garnering their help for the processing of this correspondence. Required Knowledge, Skills and Abilities High school diploma A minimum of 3 years of related experience.
