Job Description:GENERAL STATEMENT OF RESPONSIBILITIES:Provide administrative assistance to the Vice President of Academic Affairs and guidance to Academic Affairs support staff.EXAMPLES OF DUTIES:* Provides administrative support and project management to the Vice President of Academic Affairs (VPAA) and office management for Academic Affairs.* Works closely with Academic Affairs Deans and other direct reports to the VPAA, as well as Human Resources, in preparing reports and ensuring execution of collective bargaining agreement contractual requirements.* Works collaboratively with key staff and areas across the College, such as the President's Office, the Student Services and Enrollment Management Division, Finance and Operations, IT, Strategic Communications and Marketing, Facilities, and other college-wide departments/areas to ensure seamless services and support for students, faculty, and staff.* Coordinates projects and reports generated by the office, such as the updating of the Academic Policy and Procedures Manual, the Adjunct Faculty Handbook, the academic calendar, and the academic catalog.* Conducts research and prepares reports using the College's student information system.* Exercises discretion in handling confidential information offered by students, faculty, and staff; makes referrals to appropriate sources.* Maintains confidential files and reviews material for placement in archives.* Posts Department Chair, Program Coordinator, and Curriculum Coordinators positions according to the MCCC Agreement.* Administers the Department Chair/Program Coordinator evaluation process according to the MCCC Agreement.* Maintains digital historical records of communication, reporting, and approvals for the Department of Higher Education and the New England Commission of Higher Education.* Schedules various committee meetings such as staff, student, sabbatical, and tenure.* Verifies, records, and processes Requests to Employ for Academic Affairs.* Keeps personnel data current in preparation for re-appointments, change of rank/grade, tenure, and performance evaluations for all full-time and part-time faculty, all full-time and part-time unit professional staff, and all non-unit professionals in the Academic Affairs Division.* Prepares appropriate letters for the recommendation of tenure, reappointment, sabbatical and change of grade/rank for faculty and professional staff.* Collects faculty schedules, reassigned time agreements, college service forms, advising logs, and faculty workload forms.* Coordinates the student evaluation process for all full-time and part-time instructors each semester/term, including coordinating and tracking DCE classroom observations.* Serves as a member and Recording Secretary of the College Meeting and other committees, as assigned.* Prepares memorandums of approval for Program Advisory Board nominations; maintains master list of Program Advisory Boards.* Generates purchase requisitions as needed; requests budget transfers; assists in the preparation of fiscal year budget requests, including verifying, recording, and tracking stipend agreements and contract payments.* Generates travel authorization forms and reimbursement vouchers for VP travel; verifies and processes travel authorization forms for others.* Attends, supports, and participates in key College-wide and Divisional events, such as Convocation, AA Division meetings, and Commencement.* Other duties, as assigned.Requirements:MINIMUM QUALIFICATIONS:* Bachelor's degree from an accredited higher education institution plus 3 years of successful, progressive, administrative support experience.* High level of competence in using Microsoft Office Suite, SharePoint, Jenzabar (or other similar Student Information System), Zoom, and other communication and data analysis software.* Experience preparing reports using relational databases.* High standard for delivery of exceptional customer service.* Experience working within a collective bargaining environment.* Ability to work independently and as a team member.* Effective time management and organizational skills with a strong ability to prioritize projects and to meet deadlines.* Effective written, verbal, and interpersonal communication skills.* Ability to work in a sensitive, confidential environment.Equivalency StatementApplicants who do not meet the qualifications as noted above are encouraged to put in writing precisely how their background and experience has prepared them with the equivalent combination of education, training, and experience required for the responsibilities of this position.Additional Information:COMPENSATION: Annual Salary Range of $78,000-$84,000, dependent upon qualifications.
