HCP Engagement Specialist

The HCP (Health Care Professional) Engagement Specialist is the client liaison and project leader for Engagements with a strong focus on Health Care Professionals. This individual manages overall coordination of HCP engagements from contracting to an operational perspective, while providing unparalleled levels of customer service for HCP and Customer Business Partner. Responsible for client budget management and forecasting budget.

Internal and External Contacts: Manages external relationships with clients, including Disclosure Management Department, Legal Team and all third-party companies/suppliers. Working relationships and regular interaction with internal partner teams which could include but is not limited to: HCP Compliance Analyst, Contracting Specialists, Sales/Account Management, Design Studio, Creative, Guest Services, Registration, Supplier Relations, Housing/Sourcing, Accounting, Project Management and On-Site Operations.

Primary Responsibilities:

  • 60% - HCP Management: Manages overall project timeline and deliverables including client expectations and business objectives. Manages website, registration, travel logistics, air, ground and potentially other third-party contracts. Manages HCP contracting processes for individuals, professional organizations, institutions, research organizations, and universities. Including coordinating agreements while ensuring compliance with government regulations, Legal, and company standards. Minimizes exposure to contractual risks in external relationships. Responsible for understanding and communicating established Health Care Professional (HCP) Meeting guidelines. May coordinate/support food and beverage, activities, meetings, logistics, emergency preparedness and staffing onsite. Provide expertise hotels and other services. Monitors attrition dates, cancellation policies; ensure contracted services are executed. Works on special projects assigned by Manager.
  • 25% - HCP Payments, TOV Reporting & Financial Management: Monitors project expenses and budget. Responsible for overseeing all expense reimbursements & payments for HCP attendees, ensuring all are within client guidelines, timeliness, and accuracy. Responsible for timely and accurate program reconciliation to complete HCP transfer of value reporting. Responsible for program forecasting and updating financial systems. Manages the overall program budget, changes, and savings, communicates to clients. Manages cancellation costs or any additional scope change agreements. Initiates supplier payments, client invoices. Manages positive net funding on assigned programs. Works with accounting on post program reconciliation of all third party spend in order to complete final bill. Reviews final billing prior to final client invoicing.
  • 25% - Relationship Management: Understands business needs for their area of responsibility & engages with stakeholders to meet their priorities and requirements therefore building effective, relationships with stakeholders. Provides high-touch personalized service for Health Care Professionals (HCP). Works with the Guest Services Department and HCPs to communicate flight requirements for program and ensure all travel arrangements are within compliance. Support HCP Contracting Specialist initiating and executing consulting agreements. Maintains standard process and event specifications. Conducts regularly scheduled status meetings from pre-planning through program operation with client and stakeholders and escalates unresolved issues for resolution. Works with stakeholders and contributors to identify, prioritize and coordinate continuous process improvement activities, with particular focus on optimizing the key performance indicators (KPIs).

Qualifications:

  • 1. Bachelor's degree or equivalent experience required. PMP (Professional Meeting Planner), CMP (Certified Meeting Planner), CIS, CITP, HMCC, DES certification desired.
  • 2. 4+ years of experience in Pharmaceutical meeting/event planning (HCP attended meetings).
  • 3. Strong knowledge of program/event design, management, and budget maintenance. Exposure to project planning/forecasting financial implications.
  • 4. Prior successful experience in providing personal and exceptional experiences to event guests and developing and maintaining key client relationships.
  • 5. Professional oral presentation and writing skills required. Excellent computer skills, knowledge of Microsoft Office tools, Meetings Management & Digital Event Technology & ability to learn new technology quickly.
  • 6. Prior experience in effectively handling multiple projects/demands.
  • 7. Prior Experience with HealthCare Compliance or Transfer of Value reporting. Cvent experience required.
  • 8. Ability to travel up to 20% of the time required.
