We're seeking an Office Manager to join our team and play a key role in keeping daily operations running smoothly. This role is central to supporting our Finance, HR, and Facilities functions while fostering a safe, positive, and productive environment for all employees. The ideal candidate is proactive, highly organized, and thrives in a broad role where no two days look the same.
What You'll Do
Finance & Customer Accounts (30%)
- Deposit checks, process vendor applications, and ensure accurate recordkeeping.
- Review new customer account setups, establish credit terms, and monitor past-due balances.
- Lead monthly delinquency review meetings and oversee external collections when needed.
- Build strong relationships by responding promptly to account inquiries.
Payroll & HRIS Management (30%)
- Process biweekly payroll through Rippling (or similar HRIS), ensuring accuracy and timeliness.
- Serve as the primary HRIS contact for employee onboarding, benefits, and troubleshooting.
- Support the annual benefits renewal process and employee review cycle.
Office Operations & Safety (40%)
- Manage day-to-day office needs, supplies, and vendor coordination.
- Oversee IT onboarding and liaise with external IT providers.
- Serve as a permanent member of the Safety Committee; track and follow through on action items.
- Maintain OSHA documentation, company licenses, and compliance readiness for audits or inspections.
What We're Looking For
- Proven experience in office management, administration, or operations (3+ years preferred).
- Strong organizational skills with attention to detail and follow-through.
- Experience with payroll and HRIS systems (Rippling or similar a plus).
- Familiarity with basic finance/accounting processes, AR/AP, and credit management.
- Excellent communication skills and ability to build strong internal and external relationships.
- Comfortable working independently and managing a wide scope of responsibilities.
