Job Title: Program Coordinator, Educational Alliance Art School

Division – Department: Educational Alliance Art School at Manny Cantor Center

Job Classification: Non-Exempt, Full-Time, 40 hours per week

Salary Range: $27.40 - $28.85 Per Hour

Reports to: Director, Art School

JOB PURPOSE

Program Coordinator of the historic Educational Alliance Art School supervises the day-to-day operations of the mixed media studio, instructs art courses as needed, works closely with faculty and students, and supervises mixed media volunteers. The Program Coordinator will support the success of Educational Alliance Art School's: program planning, budgeting, course registration, workshops, and events. This position will report directly to the Art School Director and work in close collaboration with our Ceramics Education Manager, Art School faculty and various leaders across the organization as well as with internal and external clients to support program development. The Program Coordinator is an integral position in helping to grow the expanding community-based Art School.

SCOPE OF INFLUENCE

  • Partners and corresponds with internal and external customers and various stakeholders

  • Collaborates with Art School faculty and staff

  • Supervises Mixed Media volunteers

  • Collaborates with Director and faculty to support all programs of the Educational Alliance Art School.

  • Partners with various departments and teams across Educational Alliance to implement programs and complete administrative tasks.

  • Interfaces with internal and external clients of programs.

  • Contributes to building a dynamic community art school.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Program Administration (40%)- 16 hours

  • Communications: Written and oral communications with prospective and current students, families, staff, and external partners. Answers email, phone, and in person customer questions as needed.

  • Marketing: Coordinates and supports the completion of projects with marketing department for programs, including supporting with social media and gathering visual assets as needed.

  • Purchasing: Submit purchase orders and process invoices for materials and supplies.

  • Calendaring: Supports supervisor with creating and maintaining master annual calendar and help staff meet deadlines.

  • General Administrative: Provide general administrative and clerical support, including organization of digital and paper files, distributing cor respondence to staff, managing data for programs, and processing consultant invoices.

  • Materials Preparation: Organize materials and documentation for classes, workshops, internal and external meetings, and events.

  • Scheduling: Preparing and distributing digital and paper schedules for studios, classrooms, and events. Manage Open Studio calendar in Daxko, ensuring sessions are published and updated. Prepare Open Studio-specific materials, signage, and communications as needed.

  • Facilities/operations: Monitor organization and cleanliness of studios and classrooms, and provide status updates to the supervisor. Works with operations team to submit tickets to support the art schools building and logistical needs, and submits facilities tickets for maintenance and repairs as needed.

  • Attendance Monitoring: Create attendance sheets for Art School classes and Open Studio sessions. Collect and analyze attendance at the end of each term.

  • Events: Assist with special projects and events of the Art School as assigned by supervisor.

  • Perform other duties as assigned.

Mixed Media Studio Operations (10%)- 4 hours

The Program Coordinator is responsible for all aspects of:

  • Communicating Procedures to Faculty and Students

  • Purchasing & Reporting

  • Maintaining Materials and Equipment

  • Implementing Sustainable Studio Practices

Supervise Mixed Media Volunteer Program (10%)- 4 hours

  • Manage and Support Studio Volunteers

  • Develop Weekly Schedule & Processes for Mixed Media Volunteers

  • Liase with the Office of community programs at Manny Cantor Center to support community wide initiatives.

Arts Instruction (10%)- 4 hours

The Program Coordinator may have the opportunity to teach up to one art course per term, depending on interest, expertise, and program needs. Expertise in the following areas is required:

  • Pedagogy & Curriculum

  • Use of Materials & Equipment

  • Safety Protocols and Sustainable Practices

Ceramics Technical Support (15%)- 6 hours

Responsible for providing technical support to the Ceramics Education Manager to support quality programs. Supervision in the following areas is required:

  • Communications

  • Materials Preparation

  • Homogenizing Clay

  • Loading/ Unloading of Kilns

  • Studio Cleanliness, Organization, and Operations

  • Studio Safety

  • Monitoring Open Studio and Studio Events

  • Supervising Ceramics Volunteers

Program Development (15%)- 6 hours

  • Support the Art School Director to develop new partnerships, programs, and events.

  • Assist with marketing research to develop new programs.

  • Support the planning and implementation of registration

  • Support evaluation projects.

  • Support expansion planning for Art School, with an emphasis on mixed media.

JOB REQUIREMENTS

Minimum Qualifications

  • Bachelor's Degree, or equivalent experience, preferably in Studio Arts (with ample coursework in ceramics)

  • Experience teaching arts classes

  • Innovative, passionate, and excited to oversee art programming for various disciplines

  • Strong organizational, writing and communication skills; attention to detail, reflective demeanor

  • Proactive, problem-solver and ability to operate independently in a fast-paced environment

  • Strong interpersonal skills and experience working with a diverse group of instructors and colleagues

  • Demonstrated connections to the larger NYC arts community

  • Ability to work some evenings and weekends

Pre-employment Screening

  • Pre-employment screening is required for this position, including but not limited to Statewide Clearance Registry results, verification of ability to work in the United States and criminal history check and/or fingerprint check.

Physical Requirements

  • Physical ability to perform physical activities such as, but not limited to, lifting heavy items (up to 25 pounds), bending, walking, and standing for prolonged periods of time up to 3 hours per day.

  • Physical ability to lift and position 25 lb. kiln shelves repeatedly to load and unload kilns as well as lift 25 lb. of clay at a time when using the pug mill.
