Job Summary:
The Operations and Administrative Coordinator is a pivotal role responsible for ensuring the smooth and efficient day-to-day operations of the Islamic Food Bank. This position provides comprehensive administrative support to the Executive Director, manages essential pick-ups and drop-offs, and plays a key role in the organization and maintenance of the warehouse. The ideal candidate will be adaptable, detail-oriented, and capable of managing diverse responsibilities in a dynamic environment.
Key Responsibilities:
- Administrative Support:
- Serve as a primary support person for the Executive Director, handling scheduling, correspondence, data entry, and other administrative tasks as needed.
- Maintain organized filing systems (physical and digital) and ensure easy access to important documents.
- Assist with preparing reports, presentations, and other communications.
- Handle incoming calls and emails, directing inquiries appropriately.
- Logistics and Transportation:
- Coordinate and execute pick-ups of food by community partners.
- Ensure safe and timely transportation of goods, adhering to all relevant regulations and food safety guidelines.
- Maintain accurate records of all pick-ups and drop-offs.
- Warehouse Operations and Organization:
- Coordinate with volunteer warehouse workers and assist as needed.
- Support inventory management, including tracking stock levels and assisting with rotation of goods.
- Coordinate and lead volunteer activities located at the warehouse.
- Operate warehouse equipment safely (e.g., pallet jacks) after receiving proper training.
- General Support:
- Collaborate with other staff members and volunteers to achieve organizational goals.
- Assist with special projects and events as assigned.
- Maintain a professional and positive attitude, representing the Islamic Food Bank in a respectful manner.
- Coordinate outreach activities.
Qualifications:
- Associate's degree or equivalent; bachelor's degree preferred.
- Proven experience in an administrative support role, preferably within a non-profit or warehouse environment.
- Valid driver's license and a clean driving record are essential.
- Ability to lift and move heavy objects (up to 50 lbs.) regularly and perform physical tasks associated with warehouse work.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
- Ability to work independently with minimal supervision and as part of a team.

- Flexibility to work occasional evenings or weekends for special events or urgent needs.
Compensation:
- $17-$20/hour, commensurate with experience.
- Mileage reimbursement.
