Job Description JOB OVERVIEW The IT Operations Specialist provides essential business management support within our IT department. This role is responsible for processing invoices, managing contracts, tracking budgets and forecasts, and supporting departmental initiatives. Head of IT & Business Analytics and is based out of our Irvine office.
As the IT Operations Specialist, you will have an opportunity to: - Process departmental invoices accurately and in a timely manner, ensuring alignment with internal policies and procedures.
- Monitor, track, and help manage vendor contracts, including renewals, compliance checks, and documentation.
- Support the automation of processes and the use of advanced tools and AI to drive efficiency into everything we do.
- Assist in the preparation, monitoring, and reporting of departmental budgets, forecasts, and actuals.
- Compile and analyze financial and operational data to support decision-making and identify trends or issues.
- Maintain accurate records and generate reports as needed for internal stakeholders.
- Ensure compliance with organizational policies and external regulations related to contracts, purchasing, and financial practices.
- Support the department head on major projects or initiatives, including data gathering, status tracking, and presentation preparation.
- In partnership with department head, seek alternative solutions to existing departmental budgets. Analyze options, assemble/ present business case, and implement solution with the assistance of other in the department.
- Develop internal processes for centralized management of legal contracts for proactive management of renewals.
- Partner with team leaders to drive consistent metrics and status reporting
You have: - Bachelor's degree in business administration, Finance, Accounting, or a related field (or equivalent work experience).
- Experience with invoice processing, contract management, and financial reporting, ideally in a large or complex organization.
- Strong organizational, analytical, and problem-solving skills.
- Proficiency with spreadsheet and financial management tools (e.g., Excel, ERP systems).
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and commitment to accuracy.

Pay Range: $23.10 - $31.70 The actual annual salary offered to a candidate will be based on variables including experience, geographic location, education, and skills/achievements, and will be mutually agreed upon at the time of offer.
