The Receptionist provides high-level administrative support to ensure efficient operation of the office. The role performs a variety of clerical and organizational tasks, including managing schedules, handling correspondence, preparing documents, coordinating meetings, and maintaining filing systems. The Receptionist serves as a key point of contact for internal and external stakeholders, requiring strong communication skills, attention to detail, and the ability to manage multiple priorities in a professional and confidential manner. This is part time / 4pm to 8pm / Saturday and Sunday only. Essential Job Functions
Greet visitors, prospective candidates and other visitors of the facility in a warm and pleasant manner. Must possess the ability to deal tactfully with personnel, residents, family members, visitors and government agencies/personnel and the general public. Answers incoming calls on a multi-line system both internally and externally, in a warm, pleasant and professional manner as well as directs caller to the appropriate associate. When speaking on the phone regarding resident information, assure confidentiality at all times, being careful to be aware of who is standing near the desk and may overhear conversation. Provides callers with information such as facility address, directions to facility location, facility fax number, website and other related information. Receives mail daily and assures timely and appropriate disbursement including forwarding of resident mail as instructed by family or post office. Deliver mail, packages, etc. Ability to conduct and post resident trust transactions and file transaction receipts as needed. Conduct sale of guest meals, and deliver completed menus to dietary department. Assists with other related clerical duties such as photocopying, faxing, filing, folding of billing and resident trust statements, assembling of marketing packets, and bulleting preparation.
