This entry-level position is ideal for individuals with strong organizational and communication skills who are looking to gain hands-on experience in an industrial environment.The Mill Clerk plays a crucial role in ensuring the smooth and efficient operation of the facility's administrative functions. This role provides essential support to multiple departments, including production, quality assurance, human resources, and maintenance.RequirementsOffice Administration:* Answer and direct phone calls; greet and assist visitors* Manage and organize physical and digital files, ensuring accuracy and accessibility* Handle incoming and outgoing mail and packages* Order and maintain office supplies; may assist with inventory tracking* Operate office equipment such as printers, copiers, and fax machinesDocumentation and Communication:* Prepare and distribute memos, correspondence, forms, and reports* Type and format letters, reports, presentations, and other documents* Maintain document control for department records* Assist with compiling certification packets for customersScheduling and Coordination:* Schedule and coordinate meetings and appointments* Assist with event planning and coordination* Help coordinate travel and hotel arrangements as neededData Entry and Record Keeping:* Accurately enter data into spreadsheets and databases* May assist with reviewing payroll hours, and tracking vacation or bonus records* Maintain training records for department employees (if applicable)Department-Specific Support:* May serve as a departmental safety contact* May assist in coordinating interdepartmental meetings for spec updates and revisions* May help manage the company's raw material documentation programOther:* Perform other general office duties and support special projects as needed* Maintain confidentiality and handle sensitive information responsibly* Follow all company policies and safety procedures* Be available for flexible scheduling, including occasional weekends or overtime as neededRequirementsMinimum Requirements:* High school diploma or equivalent* Prior administrative or clerical experience (1-2 years preferred)* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)* Strong organizational and time management skills* Excellent communication skills, both written and verbal* High attention to detail and accuracy* Ability to work independently as well as collaboratively within a team* Familiarity with standard office equipment (e.g., printers, copiers, scanners)* Professional demeanor and customer service skills* Adaptability and a willingness to learnPreferred Qualifications:* Basic understanding of bookkeeping or office budgeting* Experience in fast-paced or industrial work environments* Strong computer and data entry skills* Familiarity with ERP systems or other industry-specific software* Experience with virtual communication tools (e.g., Teams, Zoom)* Exposure to or experience with software such as AutoCAD or ProNest* Awareness of workplace safety procedures and regulationsBenefits:At MMS, we ask a lot of our team members, which is why we give so much in return.
