Salary : $50,000.00 - $51,000.00 Annually Location : Wheaton, IL Job Type: Full-time Job Number: 25-00101 Department: Community Services Department Opening Date: 08/15/2025 Closing Date: 8/28/2025 11:59 PM Central Hours: Monday - Friday 8:30 a.m. - 5:00 p.m. POSITION SUMMARY We are pleased to offer the current job opportunity for an Administrative Specialist within our Community Services Department's Family Center. This position contributes to the Family Center by assisting with all clerical tasks related to the Family Center's mediation, supervised parenting, parent education, and neutral exchange programs. The Administrative Specialist assists families who are court ordered to use the programs of the Family Center.   • Ensuring the office operations are in compliance with the policy standards and provisions
  • Performs various routine clerical duties, e.g. (utilizing standard office equipment, to include: screening incoming calls, taking and transmitting messages, maintaining calendars, keyboarding information into databases, making photocopies, performing data entry, faxing documents, typing, and word processing)
  • Assists and answers inquiries from clients or customers, the public and other contacts
  • Assists customers and clients with completing forms and filing paperwork with the department
  • Provides secretarial services on project committees including preparation of agenda, etc.
  • Compiles data for special studies, annual reports and other purposes using prescribed sources
  • Collects, compiles, photocopies, assembles and distributes materials for meetings, and/or other informational packets using identified sources
  • Prepares reports, charts and tables by gathering, compiling and typing data following established procedures or format
  • Prepares original form letters, memos, or other correspondence
  • Transcribes dictation, often of a technical and/or confidential nature
  • Orders, receives, and maintains supplies for the department
  • Answers complex inquiries regarding policies or procedures by providing information requiring interpretations and familiarity with divisional policy and operations
  • Files documents alphabetically, numerically, or by other prescribed methods
REQUIREMENTS INCLUDERequirements include the following experience or equivalent combination of training and experience:
  • High School Diploma or General Equivalency Diploma equivalent.
  • Four years of administrative support experience which includes an environment exposed to public contact
The preferred candidate will:
  • Be bilingual in Spanish
