The Treehouse Office Manager & Human Resources Coordinator (OMHRC) is responsible for overseeing and coordinating daily office operations to ensure smooth-flowing administrative functions on behalf of the organization, while also carrying out Human Resources administrative functions. Treehouse's mission is to create opportunities for young people in foster care to thrive, and a well-run, high-functioning office environment is critical to our success. The OMHRC organizes and coordinates administrative aspects of Treehouse office operations to ensure effectiveness, efficiency, and workplace productivity. Well-developed leadership, organization, and collaboration skills are required for the role, along with the ability to help create and maintain a positive, inclusive work environment for all Treehouse staff and guests. The OMHRC also carries out human resources coordination functions and works closely with the HR team to ensure that HR processes are carried out in an efficient, confidential manner. Requirements Essential Duties and Responsibilities:Office Operations & Administration

  • Oversee office administrative functions.
  • Develop and manage process improvements to ensure quality of business operations.
  • Create systems to streamline operations, build efficiencies, and troubleshoot issues.
  • Manage procurement and purchasing including general office supplies, furniture and equipment for the entire staff in accordance with purchasing policies and budgetary restrictions.
  • Train staff on how to use office equipment, i.e., printer/copier, postage machine, laminating, etc.
  • Maintain inventory and distribution of promotional items to include, but not limited to, clothing, pens, stickers, mugs, tumblers, etc.
  • Responsible for arranging internal office moves.
  • Manage and oversee Treehouse's email and fax accounts, ensuring timely and efficient handling and/or routing of communications.
  • Manage vendor relationships as assigned.
  • Responsible for issuing, activating and deactivating building keycards and issuing/retrieving physical keys as well as maintaining records of key issuance.
  • Develop processes for tracking and ordering identity badges and business cards.
  • Coordinate and train staff to serve as backup during periods of absence.
  • Maintain and post calendar of office activities.
  • Develop protocols to assist staff in maintaining order and cleanliness of meeting rooms, reception space, refreshment stations, etc.
  • Create a welcoming experience for people entering the Treehouse office and meeting spaces.
  • Facilitate entry to the building and office for Treehouse guests.
  • Oversee mail and package deliveries.
  • Plan and monitor other special projects and events as needed, as well as other office/ admin duties as assigned.
  • Serve as an additional office resource to respond to public concerns and assist with de-escalation processes in emergent situations to ensure continuation of business operations.
  • Maintain confidentiality of information and sign a confidentiality agreement.
Human Resources
  • Work closely with the Chief Human Resources Officer and team to help develop the office budget and ensure expenditures are proactively monitored and adhere to budget parameters.
  • Support in maintaining personnel files and documents.
  • Maintain ESREH inbox, respond to simple requests and route more complicated tasks to appropriate ESREH team members being sure to balance assignments.
  • Maintains compliance with federal and state regulations concerning employment postings (i.e. wage & hour postings, EEOC posting, employee rights postings, etc.).
  • Assist in the development and implementation of employee handbook and personnel policies and procedures, in conjunction with HR management.
  • Support in recruitment activities including posting jobs, screening candidates, conducting reference checks, preparing offer letters and contracts, etc.
  • Design and deploy longevity recognition structure.
  • Carry out Human Resources administrative responsibilities under the guidance of the Chief Human Resources Officer.
Qualifications
  • At least three years of office management or other applicable experience.
  • Demonstrated commitment to racial equity and social justice and ability to effectively engage in candid conversations about diversity, equity, inclusion, and justice.
  • Facilities coordination and/or project management experience.
  • Experience in managing office budgets, procurement, and vendor relations.
  • Ability to work occasional evening and weekend hours.
  • Must clear criminal record and motor vehicle driving background checks
Knowledge, Skills, and Abilities
  • Demonstrated ability to build working relationships with individuals of various ages, cultures, socioeconomic backgrounds, identities and abilities.
  • Well-developed crisis management skills including de-escalation training and/or experience.
  • Ability to set and maintain appropriate boundaries.
  • Proven strong professional written and oral communication.
  • Demonstrated strong organization and collaboration skills, along with the ability to initiate new processes as needed to meet office needs.
  • Self-motivated, along with the ability to multi-task and work effectively as part of a team.
  • Proven ability to establish and maintain positive relationships with staff and partner agencies.
  • Ability to maintain a high degree of confidentiality, especially regarding sensitive HR communication and documentation.
  • Proficient with Microsoft Office Suite and cloud-based systems (e.g. SharePoint, Paylocity, etc.), and the ability to lead and coach others to utilize these tools.
Working Conditions
  • Full-time, In-office five days per week
  • Monday - Friday
  • 8:00 am to 5:00 pm

  • Physical Requirements - long periods of stationary work, utilizing various forms of office equipment (i.e. computer, copier, etc.), transitioning between various work areas, engaging in conversation which requires listening and taking notes.
