Job Description Position Overview Ultimate Staffing is actively seeking an experienced Assistant Property Manager to join their client's dynamic team in Fresno. This role requires a detail-oriented individual with a passion for real estate management, keen problem-solving skills, and the ability to maintain effective communication with residents and staff. Responsibilities Essential Duties and Responsibilities:
- Collects rents, makes bank deposits, and prepares and submits an accurate rent roll in a timely manner.
- Assists with income verifications, certification, and screening of applicants and collection of rents.
- Enters all relevant transactions into the computer following the REM Policies and Procedures and adheres to backup and transmission schedules.
- May conduct annual unit inspections.
- Assists in scheduling vacant units for rental and occupancy.
- Maintains legally required postings.
- Monitors work orders and purchase orders.
- Answers telephone calls, prepares correspondence, and maintains office neatness.
- Assists in maintaining all required inventories for office supplies and equipment.
- Files all documents and maintains the filing system.
- Prepares and processes leases, security deposit agreements, and inspections for incoming residents. Conducts inspections for outgoing residents and prepares final closing statements.
- Assists Resident Manager in processing evictions.
- Walks the grounds daily with site inspection report, ensuring cleanliness and order.
- Responds to emergencies as needed.
- May conduct market surveys.
- Consistently receives shopping and phone report scores of at least 90.
- Assumes responsibilities of Resident Manager in their absence under the direction of the Property Supervisor.
- May perform some or all of the Essential Responsibilities of the Leasing Agent and/or Bookkeeper position.
- Maintains confidentiality of resident, applicant, and employee information.
- Attends mandatory training and meetings.
- Actively participates in EAH's Injury and Illness Prevention Plan.
- Ensures regular and predictable attendance.
- Other duties as assigned.
Recertifications:
- Refers to a recertification schedule on the computer and reviews it monthly. All recertifications are scheduled to be completed by the anniversary date of move-in.
- Mails recertification letters to residents 120 days prior to the anniversary date of move-in.
- Sets up appointments with residents to sign necessary forms.
- Sends reminder notices to residents who fail to make prompt appointment responses for the recertification process.
Knowledge/Skills/Abilities:
- Ability to develop and implement site budgets and variance reporting.
- Proficient in Microsoft Office software.
- Skilled in problem-solving with staff, applicants, and residents.
- Knowledge of HUD, DFEH, and ADA guidelines and other regulatory agency guidelines specific to the site.
- Strong communication skills, both oral and written.
- Intermediate computer skills (Excel, Word, Internet, email).
- Ability to use initiative and think independently.
- Able to maintain a calm and professional demeanor in all communications with residents, vendors, and staff.
- Sound judgment and ability to work effectively with a wide variety of personalities.
Supervisory Responsibilities:
- May supervise one staff person.
- Orients new employees to position.
- Trains staff on emergency procedures and employee safety.
- Approves timesheets and time-off requests.
- Sets and oversees employee work schedules.
- Provides performance feedback to employees, including coaching, counseling, and disciplining.
- Hires and evaluates employees.
- Conducts regular meetings for discussions, problem-solving, encouraging, and training.
Required Work Hours Monday - Friday, 8:00 AM - 5:00 PM
