Job Summary Our client is seeking a Department Assistant who will provide administrative support for department management to ensure continuity of daily department functions and operations by collaborating to provide and present department information. This position coordinates with department management to provide administrative services in conjunction with department and business line goals and objectives. Job Description
- Responsible for tracking employee onboarding through the background check process to the orientation on site.
- Assist Project Coordinators/Superintendents with any needs they may have as well as assist Safety Managers with document control.
- Roles and Responsibilities: general admin duties, reporting, payroll, office assistance, etc.
- Assist with time entry for field craft payroll weekly.
- Assist with verifying the time entered into jobsite badging system and advise on corrections as needed.
- Assist with submitting and obtaining craft correction paychecks.
- Assist with data entry into jobsites IRA tracking log.
- Assist with adding apprentice information in Baker Tilly database
- Assist with new hire paperwork and ensure accuracy and completion prior to sending to payroll.
- Assist with general document control processes.
- Assist with UPS/FedEx deliveries at the office and ensure they get to the shipper.
- Assist with managing the office supplies and orders as needed.
- Assist with miscellaneous event and training set up.
Skills Required
- Minimum of three years' experience in an administrative or coordinator function, preferably in a construction environment.
- Possess exceptional organizational, communication (written and oral) and prioritization skills.
- Ability to work autonomously.
- Fulfill and complete urgent needs.
- Present self with a professional, mature, and positive demeanor.
- Ability to work with a variety of personalities.
- Computer Skills:
- To perform this job successfully, an individual should have knowledge of MS Access, Excel, and Word. Experience with Oracle preferred.
Education/Training/Certifications
- High School Diploma or GED equivalent.

- 7am to 5:30pm M-F.
- Must be able to work 5/10 work week AND Saturdays/Sundays if needed.
- This position is NOT eligible for flex 9/80.
- Must work traditional work schedule - 40 to 50+ hours per week (OT after 40 hours - adhere to State OT guidelines).
- Will be working on an active construction site but in a field office trailer.
- Will need vehicle that can drive on gravel roads to get to jobsite.
Pay Rate/Salary
- Base Compensation: $18/hour - $23/hour (Actual compensation is subject to variation due to such factors as education, experience, skillset, and/or location.)
