Part-Time Human Resources Assistant

The Part-Time Human Resources Assistant provides administrative support to the Human Resources department with a focus on data entry, records management, and employee support. This position is responsible for maintaining accurate and confidential employee information using the college's ERP system (Jenzabar EX) and customer service. This position must be detail-oriented, organized, and able to interact professionally with faculty, staff, and visitors while maintaining professionalism, confidentiality, and a strong commitment to radical hospitality.

Responsibilities:

  • Effective use of the ERP Jenzabar EX system for data entry
  • Assist with regular HR reports, such as employee headcount, leave tracking, and compliance metrics
  • Respond to general HR inquiries from staff and faculty in a timely and professional manner
  • Support the gathering and analysis of HR data for institutional reports, audits, and accreditation reviews
  • Assist with the recruitment process
  • Participate in the development or revision of HR forms and templates
  • Assist with onboarding and offboarding process for new and departing employees
  • Maintain digital and paper records of employee data, including personnel files and digital updates
  • Prepare employment verifications, letters, and standard HR correspondence
  • Assist with employee training programs and tracking employee evaluations
  • Assist the follow up on mandatory training completion
  • Perform data entry, filing, scanning, and other clerical tasks as needed
  • Assist with employee events
  • Greet employees and other office visitors
  • Other duties, as assigned.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or coursework in HR, business, or related field preferred
  • Customer service & handling phone calls experience
  • Ability to think logically, make decisions and solve problems
  • Strong organizational, analytical skills and attention to detail
  • Ability to maintain confidentiality and exercise sound judgment
  • Data entry skills, spreadsheet, and word processing proficiency
  • Written and verbal communication skills
  • Must be able to work in a typical office environment

Preferred Qualifications:

  • Experience working in higher education
  • Knowledge of employment laws and HR best practices
  • Strong proficiency in Microsoft Excel, including the ability to use functions such as VLOOKUP, sorting, filtering, and pivot tables for data management and analysis

Physical Demands and Work Environment:

  • Work is normally performed in a typical interior/office work environment.
  • No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 30 pounds.
  • No or very limited exposure to physical risk.

Safety:

  • Provide resources for safe operation of units. Create and support workplace safety.

Salary Range & Fringe Benefits:

  • The rate of pay is $13 per hour for up to 19 hours per week.

  • Kilgore College does not participate in the federal Social Security program.
  • All full-time positions are located in Kilgore, TX.
  • No fully work from home positions are available at this time.
  • All employees must be available to physically present to work on the Kilgore, TX or Longview, TX Campus.
  • Some Part-Time and Adjunct positions may be offsite but the candidate MUST live in the State of Texas.

Positions will remain open until filled. Some Adjunct and Part-Time teaching positions may remain open perpetually as the need for part time instructors fluctuates with student enrollment.
