Position Summary The Human Resource Assistant supports the Senior HR Associate in a variety of HR functions, with an emphasis on administrative tasks and compliance. This position processes a wide range of HR transactions in the HRIS and assists with academic search processes for the College of Medicine Rockford. The role requires strong attention to detail, excellent customer service skills, and the ability to navigate the unique requirements of a public-sector HR environment. Duties & Responsibilities
Process various HR transactions using an HRIS, including new hires, employee changes, funding changes, reappointments, and separations. Assist with hiring and onboarding activities for new employees. Support applicant tracking processes, including application management and communication with applicants. Assist the Senior HR Associate with documenting and reporting diversity outreach efforts, tracking hiring outcomes, and posting job vacancy advertisements. Take detailed notes during search committee meetings and candidate interviews. Monitor and maintain job descriptions per university requirements. Provide reporting on faculty promotion history to academic departments. Ensure compliance with university and departmental policies in all HR processes. Reconcile departmental credit card purchases in accordance with university guidelines. Process employment verifications and provide backup support for employee badge (i-card) requests. Support various HR administrative tasks as needed and participate in special projects as assigned. Assist with in-person Family Medicine Residency interviews at the clinic location (approximately 2 miles away) once per week during the residency recruitment season. Perform other related duties and participate in special projects as assigned. Minimum Qualifications
High school diploma or equivalent. Any one or any combination totaling one (1) year (12 months) from the following categories below: course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent: - 30 semester hours equals one (1) year (12 months)
work experience performing basic human resource/payroll or general office support duties. The budgeted salary range for the position is $20.00 to$22.00/hr.
