This position involves a variety of administrative responsibilities, including client screening, answering our multiline switchboard, handling documentation and mail processing, and maintaining smooth communication between clients and case workers. The primary purpose of this position is to serve at the front reception desk and to provide administrative support to the Family Services and Economic Services Divisions at the Department of Social Services. This position has direct public contact. Public contact includes but is not limited to, screening clients in person or by phone to determine needs, explaining programs and eligibility requirements, ensuring the appropriate case workers are notified, collecting necessary documentation from clients, answering the agency's multiline switchboard, and processing and delivering mail to the agency. The processing of mail rounds also includes delivering mail to the post office daily and accepting deliveries. Employees are generally assigned a primary administrative responsibility, however, cross-training in other areas may be required. This position reports to the Economic Service Supervisor. **NOTE** Two professional references are required. Essential Functions
  • Work directly with the public and all visitors who visit the agency;
  • Screen clients to determine the appropriate program(s) needed and explain the program(s) offered through the Department of Social Services (phone calls must be screened and routed to the appropriate employee or program);
  • Records and logs all visitors into iiReception and looks clients up in Northwoods and NCFAST;
  • Process all daily incoming and outgoing mail and deliver to appropriate staff via a document management system or the post office daily and deliver any paper copies of mail to the appropriate staff;
  • Provide backup, as needed, to co-workers in Administrative Services/mail;
  • Serve on a shelter team during hurricanes, storms, and natural disasters as determined by Emergency Management;
  • Performs other duties as assigned.
Minimum Qualifications High school diploma or GED and at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience. Knowledge, Skills, and Abilities

  • Ability to learn and perform work using local and state technology systems including NCFAST, X Cloud, Northwoods, iiReception, Microsoft Office programs including Excel and Access databases, internet browsers, virtual meeting platforms such as Microsoft Teams and Zoom, and other commonly used electronic programs;
  • Ability to establish and maintain effective working relationships with county officials, department heads, peers, associates, and the general public.
Physical Requirements This work requires the frequent exertion of up to 10 pounds of force and occasional exertion of up to 25 pounds of force; work regularly requires sitting, speaking, hearing, use of hands and fingers, handling, feeling, reaching with hand and arms and repetitive motions, frequently requires walking and occasionally requires standing, stooping, kneeling, crouching, crawling, pushing, pulling and lifting; work has standard vision requirements; work requires vocal communication to express or exchange ideas by means of spoken word; work requires hearing to perceive information at normal spoken levels; work requires preparing and analyzing written or computer data, using measuring devices, operating motor vehicles or equipment and observing general surroundings and activities; work occasionally requires exposure to outdoor weather conditions; work is generally in a moderately quiet location (e.g. business office). Special Requirements Must possess a valid North Carolina driver's license. Must complete all applicable required training including Confidentiality, Civil Rights, FEMA and Red Cross Shelter Training, Bloodborne Pathogens, NCFAST Core Functions, Level 1, and other state trainings, new employee orientation, and Chatham County Department of Social Services Policy and Procedures. Some travel to local or state meetings may be required.
