Facilities Operation Coordinator Education AdministrationJob Summary Reporting to the College of Education Director of Facilities, the Facilities Manager is responsible for effectively administering the College of Education (COE) facilities. The Facilities Manager is responsible for but not limited to: facility scheduling, building access and maintenance, space assessments, coordination of space renovations and improvements, event and classroom organization, and furniture surplus and inventory management. This position provides a broad range of customer service support to the COE community.
Duties & Responsibilities Facility Management - 40% • Serve as primary contact for College of Education facilities e.g., Education Building, Children's Research Center (CRC). • Recommend improvements to maintain efficient operations and obtain written cost estimates for remodel and construction projects for College of Education spaces. • Ensure outside contractors and/or F&S to verify work meets contractual agreements, are within bid or estimate amounts, handled in a timely fashion, and consider the needs and requirements of the College community. • Manage College facility ticketing system. Prioritize, schedule, and facilitate resolution of submitted requests with a high level of autonomy. Submit work requests, liaise with F&S trade shops, and communicate appropriately with all constituents. • Coordinate the distribution of keys and approve all card swipe access to college facilities. Manage college key/swipe database and complete space usage reports. • Liaise with Building Service Workers (BSWs) to ensure adequate cleanliness of college facilities. Document and escalate concerns with BSW administration, when necessary. • Determine building hours for semesters and break periods. Coordinate special open/close events when needed. • Ensure compliance with safety codes, ADA requirements, and other policy, procedure, regulation, statute and/or law relating to the operation of a major, public facility. • Monitor and catalog the location and status of all inventories assigned to COE and its facilities.
Space Management - 40% • Maintain college space database and update records of all internal space assignments, classification, and usage. In coordination with the Director of Facilities, conduct and review annual space study. • Coordinate and facilitate space assignments by gathering and assessing the needs of the units, planning for furniture needs, preparing rooms as needed, and coordinating office moves in accordance with COE policies and procedures. Supervise and assist with move, including the movement of furniture up to 80lbs in weight. • Schedule and coordinate College space usage in cooperation with college student services staff, faculty, and campus facilities. Manage classroom scheduling and approve conference room and shared space requests. • Assist units with special events, including coordinating space, both virtual and on-site, and assist with set-up and take-down, upon request. • Assist with classroom, conference room, meeting, and special event technology and AV support, as needed.
Administrative - 20% • Serve as a member of the COE Advisory Committee on Space and Buildings (ACSB). • Assist the Director of Facilities in the management of safety protocols such as Building Emergency Action Plans with the Office of Public Safety. • Assist the Director of Facilities with the development of the College's annual capital planning and deferred maintenance priorities. • Serve as primary building safety and security contact. This includes on-call responsibilities, processing of maintenance requests, facilitation of life safety improvements and annual safety activities. Additional Physical Demands • Position required a great deal of mobility: checking on room set-ups, overseeing operations, etc., throughout the buildings. • Work is done anywhere throughout and around facilities, including work areas and construction sites which may result in occasional hazardous and uncomfortable environments, ranging also from mechanical rooms to offices. • Occasional management of evening and weekend events.
Minimum Qualifications 1. High School Diploma or equivalent. 2. Any one or combination totaling three (3) years (36 months) from the categories below: A. college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
- 60 semester hours or an Associate's Degree equals one (1) year (12 months)
B. training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience. C. work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience. 3. One (1) year (12 months) of supervisory or administrative experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.
Knowledge, Skills and Abilities - Excellent leadership and customer service skills.
- Solid knowledge and experience with building systems, facility maintenance, and construction trades.
- Team-oriented, collaborative individual with the ability to be self-directed when necessary.
Preferred - Proficiency with ArchGIS or other 2D/3D computer aided design software.
- Experience in facilities and/or operations in a higher education setting.
- Experience in managing equipment maintenance programs.
- Knowledge of University policies and procedures pertaining to facilities and inventory management.
- Knowledge of and experience with University security systems and maintenance procedures.
- Proven ability to communicate effectively, both orally and in writing, with individuals at all levels in an organization.
- Ability to read and interpret blueprints.
- Excellent organizational and communication skills.
- Ability to manage multiple tasks and priorities.
- Demonstrated ability to think outside the box and to facilitate change in a positive and inclusive manner and work effectively with a diverse College population.

Appointment Information This is a 100% full-time Civil Service 2378 - Facility Operations Coordinator position, appointed on a 12-month basis. Theexpected start date is as soon as possible after closing. The salary range forthis position is $55,000 - $65,000. We strive to provide a competitive salary,considering factors such as available market data, internal equity, candidateexperience and qualifications, collective bargaining agreements, and budgetconstraints.
