The Position: Be the Backbone of a Mission-Driven Team

As our Operations Support Coordinator, you'll be at the heart of a mission-driven staffing firm, keeping the office running smoothly, our processes on track, and our team free to focus on what matters most: placing critical behavioral health providers in communities that need them.

You won't be juggling four separate jobs — instead, you'll own a diverse, balanced set of tasks that together keep our team operating at its best.

Credentialing & Licensing Support

You'll own the process that ensures our psychiatrists and psychiatric nurse practitioners are fully credentialed and licensed speeding up the communities we serves' ability to have access to mental health care.

  • Own the coordination of all aspects of facility-specific medical staff applications and approvals for psychiatrists and psychiatric nurse practitioners, ensuring timely completion.
  • Maintain accurate, up-to-date clinician information in our credentialing database with a high degree of precision and integrity.
  • Verify that all required documents are on file and meet facility, state, and licensing requirements, proactively addressing any discrepancies.
  • Drive and manage timelines for initial credentialing, reappointments, and renewals, taking full responsibility for meeting deadlines.
  • Serve as the primary liaison with facilities, licensing boards, and clinicians to ensure smooth and timely onboarding, resolving any issues promptly.
  • Prepare and submit accurate, complete applications to the appropriate contacts, ensuring all submissions are error-free and on time.

Sales and Executive Team Support

You'll keep our sales teams moving at full speed by managing data, outreach, and follow-ups that directly translate into more placements and stronger client relationships.

  • Handle administrative tasks for the recruiting team to maximize their selling time.
  • Assist with sourcing candidates, posting jobs, and scheduling interviews.
  • Maintain candidate tracking and recruiter reports.
  • Follow up on action items and keep processes moving forward.
  • Partner with executives on administrative and personal tasks to free them for high-level work.
  • Manage errands, reservations, and on-the-fly requests to keep leadership moving without interruption.

Office Management & Administrative Duties

You'll own the organized, well-stocked, and efficient work environment that allows our team to stay focused, productive, and ready to deliver for our clients and candidates.

  • Maintain a stocked, organized, and welcoming office and kitchen environment where the team can do their best work.
  • Oversee mail, supplies, and vendor coordination to ensure smooth operations.
  • Plan and coordinate meetings, travel, and company events that keep the team connected and engaged.

Requirements:

  • Ability to work onsite, full-time (40 hours per week) in our Austin, TX office.
  • Proven ability to stay organized and manage multiple priorities.
  • Strong written and verbal communication skills. Can communicate timely, professionally, and efficiently with all required parties. (Comfortable with phone calls).
  • Proactive problem solver who takes ownership and follows through without needing reminders.
  • High attention to detail and accuracy in all work.
  • Comfortable learning and working within databases, spreadsheets, and administrative tools.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Flexibility to switch between focused administrative work and quick-turn requests as priorities shift.
  • Associates Degree or higher
  • Proficient in Microsoft Teams, Word, Excel and Outlook and other web-based applications
  • Self-motivated with the ability to work autonomously and as part of a collaborative team
  • Ability to anticipate needs for clients, candidates, and/or sales team in order to ensure smooth placements.

Compensation:

  • Base Salary ($45,000) + Bonus Opportunities
