Position Overview: This full-time on-site exempt position is responsible for overseeing day-to-day operations, including membership management, food programs, rentals, special events, and facilities management. The role involves hiring and training staff, implementing policies, and creating strategies to improve productivity and efficiency. Building and maintaining a positive company culture and collaborating effectively with other managers are essential.

Member Relations:

  • Manage front desk staff to provide exceptional customer service
  • Manage Customer Relations Management (CRM) software
  • Serve as the point person for membership-related issues

Rentals:

  • Provide rental tours, execute rental contracts and payments
  • Coordinate all rental details
  • Be on call during rentals

Set up:

  • Coordinate with the Program Manager for classroom setup

Manage facilities staff to execute setup

Building Maintenance:

  • Manage and schedule facility maintenance and repairs
  • Negotiate contract terms and fees for repairs
  • Schedule monthly and yearly inspections
  • Manage phone, security, and fire systems

Food Programs:

  • Develop and manage food programs
  • Coordinate with Food Program Coordinator and Volunteer Coordinator to implement food programs
  • Manage Food Program Coordinator

Staff Management:

  • Participate in the selection and hiring of staff
  • Develop and implement yearly staff evaluations in conjunction with the Executive Director

Events:

  • Participate in planning and executing special events
  • Develop event budgets and ensure adherence
  • Support the Event Coordinator to ensure successful events

Other Duties:

  • Update and maintain the website using WordPress
  • Oversee technology used in the building
  • Audit invoices and payment requests before submission
  • Ensure compliance and training related to Disaster Preparedness Emergency Response Plan, Harassment, and CPR training
  • Perform other duties as assigned by the Executive Director

Required Skills and Capabilities:

  • A college degree
  • Strong organizational and planning skills
  • Ability to create and manage budgets
  • Proficiency in IT: databases, spreadsheets, and essential software (Microsoft Office, Google Suite, Adobe Creative Suite)
  • Ability to research and implement new technologies
  • Excellent customer relations skills
  • Strong leadership and interpersonal skills
  • Ability to work independently and in a diverse team
  • Excellent verbal and written communication skills
  • Availability to work occasional evenings and weekends

Desirable Qualifications:

  • Familiarity with CRM applications – administrator level experience
  • Graphic design skills
  • Bilingual in English and Spanish
  • Knowledge of senior resources and community programs

Physical Requirements:

Ability to use hands and arms for reaching and lifting, up to 50 pounds. Reasonable accommodations available for qualified individuals with disabilities. The role involves mainly sitting, with occasional walking or standing.
