Job Description: Reporting to the Athletics Director, the Coordinator of Athletic Operations is responsible for assisting in the daily operations of the department, ensuring effective coordination of scheduling, purchasing, and contracts. This position supports financial tasks, including reviewing payables, processing donations, and handling reimbursements. The Athletic Operations Coordinator will also assists in planning and executing special events and maintaining athletics facility schedules. Additionally, this role is a conduit to students, staff, and community members in supporting various administrative functions within the department.
Essential Job Functions: 40% A. Daily Operations Manage the daily operations of the Athletics Department, ensuring efficient execution of scheduling (EMS), purchasing, (game) contracts, transportation, and general office administration. Address phone calls, emails, and customer service inquiries. Oversee mail, purchase/maintain office supplies inventory.
25% B. Financial Management Review and process department payables and receivables, monthly reimbursements, and reconciliations. Oversee budget tracking for various athletics programs and ensure timely submission of financial documentation and reports.
10% C. Event Coordination and Support Assist in key athletics-related events, such as Blue and Gold Weekend, Hall of Fame, Annual Golf Outing, ceremonies, awards celebrations, and coordinate visiting team correspondence for all home games. Assist with event logistics, including scheduling, and vendor coordination. Support the athletics department in maintaining engagement with alumni and the campus community.
10% D. Student-Athlete and Facility Management Manage and coordinate athletics facility schedules (indoor & outdoor), reserving spaces for practices, events, and competitions, including coordinating external bookings with the events staff and overseeing official scheduling and payments. [Oversee] coaches handling of game management for all events
10% E. Game Management Hire and approve timesheets for Game workers. Coordinate Preseason Game management meetings. Work games during the semester, if needed.
Education: Required: High School Diploma or Associate's Degree. Preferred: Bachelor's Degree
Professional Experience: Required: 3 years of experience working in support role in a complex organization. Preferred: 3 years of experience in higher education Job Category: Staff Pay Range: $21.82-$25.67
