Job Title: Intake Specialist (Contract)

Location: Newark, NJ (On-site, attached to Newark Penn Station)

Compensation: $22$25/hr, commensurate with experience

Type: Contract, Full-Time (40 hrs/week, 9am6pm + up to 5 hrs pre-approved OT)

Duration: Estimated 812 months with potential for conversion to permanent

A respected law firm located in Newark, NJ is seeking a Contract Intake Specialist to join its team and provide essential support to clients and attorneys. This is an excellent opportunity for someone with strong organizational skills, empathy, and attention to detail who thrives in a fast-paced, client-facing legal environment.

Responsibilities:

• Serve as the primary point of contact for clients, guiding them through the litigation process and providing regular updates on their case status.
• Focus on pre-sign-up intake, including making the first welcome call, gathering initial case information, and accurately entering data into Salesforce.
• Conduct pre-litigation investigations and light discovery, including drafting correspondence, reviewing records, and managing case updates.
• Retrieve and review medical records, including following internal bookmarking and document review procedures.
• Handle incoming inquiries and disseminate information to supervisors regarding client claims and casework.
• Schedule client appointments, manage calendars, and maintain accurate, up-to-date case notes.
• Coordinate the collection of required documentation and records from clients and third parties.
• Maintain a professional, empathetic, and responsive rapport with clients.

Requirements:

• Prior experience working in a law firm or legal setting, preferably in a client-facing or case management role.
• Strong data entry skills and experience working with Salesforce or similar CRM/case management platforms.
• Ability to analyze and interpret medical and legal documents.
• Strong written and verbal communication skills.
• High attention to detail and excellent organizational skills.
• Proficient with standard office technology and systems; tech-savviness a must.
• Candidates must successfully clear a background check prior to starting.
