Position Summary: The New York City Public Schools (NYCPS) is the largest school system in the nation with nearly 1 million students, approximately 135,000 employees, including almost 75 ,000 teachers and an annual budget of $ 39B . The vast majority of our students who receive special education support and services are taught in the same schools and classes as their peers who do not have disabilities. In some cases, students are in Integrated Co-Teaching (ICT) classrooms, where a general education teacher and a special education teacher teach together. Others attend more specialized classes in community schools. The Operations Support Coordinator, ORS plays a vital role in ensuring equitable access and success for students with disabilities and promotes an inclusive educational environment by addressing logistical and operational needs specific to this population. The Operations Support Coordinator, ORS, supports the Director of Finance and Strategy, ORS to plan, develop, implement, and execute the program management of the Office of Related Services (ORS) Program. The Coordinator will perform difficult and responsible analytic work in the administration of the Division and will be responsible for assisting in operations, timekeeping, data tracking, and reporting. Reports to: Director of Clinical Services Direct Reports: N/A Key Relationships: Maintains positive professional relationships within the Office of Related Services, the Committees on Special Education, and the Division of Human Resources. Responsibilities
- Works closely with the Director of Finance and Strategy, ORS to maintain the administration and operations of the Office of Related Services to ensure that resources align with strategic objectives and program goals on behalf of students with disabilities.
- Coordinates community events in collaboration with ORS and DSL teams to support schools, students, families, and educational partners.
- Supports the implementation of key ORS student initiatives such as SEED and Saturday Academy through coordinating with SEO offices and across NYCPS.
- Coordinates meeting space, logistics, and courier service, as needed for ORS Leadership, including meetings with community-based stakeholders.
- Provides office support with various projects including family and community outreach related to ORS programs available to students with disabilities.
- Identifies opportunities to improve efficiencies within ORS and support their implementation.
- Tracks and monitors all operational activities and ensures that program reports are provided to project teams on an ongoing basis.
- Responsible for providing office support, including equipment and purchasing and inventory.
- Manages correspondence for ORS general email inboxes.
- Tracks and updates time, vacation, sick, and compensatory records; computes, submits and approves personnel separation forms.
- Utilizes NYCPS systems to update personnel information. Prepares monthly reports as needed.
- Assists ORS Program Offices with the creation, submission, and posting of per-session vacancy circulars.
- Supports with ORS personnel archiving process according to NYCPS archive policy and procedures.
- Monitors timekeeping submissions for accuracy and completeness.
- Serves as a liaison between the ORS staff, the Division of HR and Cybershift on matters pertaining to payroll, benefits , payroll processing inquiries , overtime payments etc. with regard to human resources requests, responding to telephone calls and email inquiries.
- Screens mail and prepares materials to be distributed.
Qualification Requirements: Minimum
A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or Education and/or experience which is equivalent to 1 or 2 above. However, all candidates must have at least one (1) year of experience as described in 1 above. Plus

- Experience with and knowledge of NYCPS operations, timekeeping, personnel, and procurement.

- Strong spoken and written communication skills and the ability to be responsive to feedback.
- Attentive to detail, extremely well-organized, able to work under pressure, and meet frequent and changing deadlines.
- Knowledge of NYCPS systems, including the Financial Accounting Management Information System (FAMIS) and the Travel Reimbursement and Approval Certification (TRAC) system.
- Ability to learn quickly and thrive in a fast-paced work environment.
- Ability to work effectively independently, and as part of a team.
Salary : $72,114 - $80,000 (Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
