Position Summary
The Sisters of Charity Foundation of Cleveland is committed to increasing the communitys ability to improve the lives of people living in poverty. The Office Coordinator/Program Associate will provide administrative support to the overall work of the Foundation and support the program staff with programmatic support, including special projects.

Accountability
Reports to the Senior Program Director with accountability to the President and Board of Directors.
Responsibilities
Program Associate: Responsibility for programmatic and special project functions, including:
- Become knowledgeable about the Foundations focus areas, goals, and key initiatives.
- Develop and coordinate project work plans to accomplish goals and objectives for complex programs and projects; track project milestones.
- Develop and utilize tools to compile and maintain project status reports and communicate updates to the team regularly.
- Support project coordination across multiple concurrent projects within the program.
- Build and maintain productive relationships among staff and stakeholders.
- Provide logistical support for meetings, including scheduling, reserving space, arranging food, and other logistics.
- Assist in preparing materials for trainings, conferences, and meetings, including agendas and other documents.
- Support meetings with note-taking, follow-up task lists, and contact with participants.
- Assist with planning and supporting special events, including logistics and materials.
- Help arrange travel for staff members.
- Troubleshoot partner information issues and conduct research and analyses on social issues as needed.
Office Coordinator: Responsibility for general office support functions, including:
- Manage front desk operations, answer phones, maintain directories, and troubleshoot equipment.
- Support Foundation hospitality, including refreshments and meeting setups.
- Maintain office documentation such as manuals and information binders.
- Handle petty cash, invoicing, and billing support.
- Maintain the Foundation library and contribute to social media and blog posts.
- Assist with office equipment and IT-related issues.
Additional Team Contributions:
- Participate in board and committee meetings, and staff events.
- Represent the Foundation in the community and collaborate with Sisters of Charity Health System.
- Perform other duties as assigned.
Qualifications
- Understanding of the Mission & Ministry of the Sisters of Charity of St. Augustine and the Foundations mission.
- Bachelors degree and/or 3-5 years of experience; experience in non-profit or office settings preferred.
- Proficiency in Microsoft Office Suite, especially Outlook, Word, and PowerPoint.
- Ability to operate office equipment and manage multiple projects.
- Strong sense of accountability, confidentiality, and time management.
- Professional interaction with diverse individuals and excellent interpersonal skills.
- Flexibility and adaptability to evolving priorities.
