Position Summary As the Office Administrator, you will play a critical role in ensuring the smooth and efficient operation of the 11 Capital headquarters' office environment. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple administrative functions simultaneously. From overseeing office supply inventory and managing building access to supporting staff training and coordinating company events, you will be the go-to person for day-to-day office support. You will also work closely with senior leadership to improve operational workflows, while ensuring an organized, welcoming, and well-maintained workspace.   • Manage the day-to-day office operations including supply inventory, kitchen restocking, equipment maintenance, and coordination with vendors to ensure a clean, safe, and fully functional workplace.
  • Manage building access and security protocols, including handling the visitor phone line.
  • Create and issue employee badges, maintain property lists, and other internal company information.
  • Support team onboarding and training sessions when needed.
  • Provide administrative support such as answering phones, sorting mail, preparing documents, maintaining organized office filing systems, shipping, and receiving packages.
  • Coordinate and manage vendor relationships and negotiate corporate rates for travel-related services including hotels and car rentals.
  • Assist with booking travel for employees including airfare, hotel stays, and rental cars.
  • Plan and execute internal events and celebrations, including holiday and summer parties, coordinating logistics, vendors, and employee engagement items.
  • Order and distribute employee recognition items, swag, and holiday cards for internal teams and external vendors.
  • Support internal office communications by drafting and distributing announcements, coordinating event notifications, and ensuring timely updates on office closures, schedule changes, and company-wide initiatives.
  • Assist with various cross-departmental projects.
  • Other duties as assigned per office needs.
Education and Qualifications:
  • High school diploma or equivalent required; Associate degree in business administration or a related field preferred.
  • 3 or more years of experience in administrative or clerical roles, preferably in a fast-paced office environment, is required.
  • Strong understanding of office management procedures and best practices.
  • Event planning experience is a plus.
  • Exceptional verbal and written communication skills.
  • Professional demeanor with excellent interpersonal and customer service abilities.
  • Highly organized with strong attention to detail and accuracy.
  • Proven time management skills with the ability to prioritize tasks and meet deadlines consistently.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable learning new software tools as needed.
  • Must be able to work in-office during business hours. This role is not applicable for remote work.
Compensation:
  • The base compensation range for this position is $28.00 to $31.25 per hour.
  • Exact compensation may vary based on skills, experience, and location.

Physical Requirements To successfully perform the essential functions of this job, the employee must be able to:
  • Perform work in a professional office environment.
  • Lift, push, and pull up to 25 lbs.
  • Must be able to use standard office equipment such as computers, phones, photocopiers, and fax machines.
  • Regularly required to sit, and to move about the various work environments to train, monitor and ensure compliance with all company requirements.
  • Verbally communicate with employees, co-workers and customers in person and by phone.
  • Occasional travel to various worksites that may require overnight stays, flights, and/or prolonged travel in a vehicle.
