POSITION SUMMARY: The Administrative Assistant II provides administrative support with various office duties to ensure efficient school operation.REPORTS TO: Assistant PrincipalESSENTIAL JOB DUTIES
  • Perform clerical duties, including but not limited to: answering phones, screening and directing calls; greeting and assisting students; opening, processing, and distributing mail; typing forms, letters, reports, correspondence, and memos.
  • Heavy calendaring duties for all counselors in the department, especially during class registration time.
  • PowerSchool experience is a plus. CHS uses Powerschool to manage and manipulate student schedules and assist counselors with student moves.
  • Department Financial Administrative Assistant handling all money deposits, refunds, PO's, vouchers Keystone management and keeping of department financial files each year.
  • Assist with creating department budget with Dept. Head/Head of Counseling.
  • Maintain a welcoming environment for all students seeking guidance services.
  • Manage MOCAP and all online programs i.e Launch
  • Work directly with ADMIN on creating a variety of courses in PowerSchool for students.
  • Manage the 3-month process of working with each department head to create a new Program of Studies each year with course changes, additions and deletions.
  • Assist with CHS Core Data including entering teacher minutes into PowerSchool.
  • Make appointments for students and parents to meet with counselors.
  • Update department website with Program of Studies and Counseling Department information each year.
  • Process AP exam payments, refunds and cancellations as needed.
REQUIRED QUALIFICATIONS - Required qualifications to effectively perform the job. An equivalent combination of education, training, and experience will be considered.
  • Some college is required.
  • At least 2 years' experience is required.
KNOWLEDGE, SKILLS, AND ABILITIES - This may be representative but not all-inclusive of the knowledge, skills, and abilities commonly associated with the job.
  • Requires the extensive use of technology on a daily basis.
  • Requires strong organization to ensure all tasks are completed in a timely fashion.
  • Requires the ability to work well with others to provide cohesive services to the District.
  • Requires strong attention to detail.

  • Required to occasionally move objects weighing up to 10 pounds around the workspace.
  • Required to visually obtain information from computer monitor, correspondence, reports, or legal documents.
  • Required to operate standard office equipment.
WORK ENVIRONMENT - Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.
  • General office conditions. Exposed to moderate noise levels.
TERM OF EMPLOYMENT: Eight hours per day. Twelve-month position, as assigned.Education Requirements: Some college is required. Experience: Minimum of 2 - 3 years experience as an administrative assistant or equivalent position. Prior school district office experience is highly desirable.
