Category Technician DescriptionPosition Title: Registrar's Office Specialist Reports To: Registrar Position Status: Full-Time, 37.50 hours per week, 12 months per year, 1950 Annual Hours Classification/Points: H, 905 Bargaining Unit/Division: Michigan Education Association, Educational Support Personnel I & II, Division II Technical Position Description: Supports the Registrar in managing student records, registration processes, and related academic operations of the Registrar's Office. Position Responsibilities: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Provide information/assistance to the general public, faculty and staff in all areas of the Registrar's Office. Provide assistance to students with student system usage, registration functions, degree requirements, transfer credits and academic record information. Responsible for transcript processing. Review and correct record errors on academic transcripts. Serve as point of contact for Transcript and Diploma Services, managing and troubleshooting issues and services. Prepare diploma information for production/distribution by Diploma Services. Receive and process orders for replacement diplomas. Maintain Registrar's Office information on the College website, ensuring up-to-date information is available. Process student registrations, add/drop requests and course withdrawals. Maintain student system records and file system and ensure compliance with record retention/disposal procedures. Update student personal and academic information when requested. Serve on the college commencement committee and assist with ceremony preparations. Assist the Registrar with grade processing and grade changes. Assist Registrar with degree audits. Assist Registrar with auditing records for completion of the Michigan Transfer Agreement (MTA). Assist Registrar with transfer evaluations. Assist Registrar with final exam preparation. Complete enrollment verifications and Clearinghouse education verification requests. Work with fellow staff in the Registrar's Office to provide guidance on records and registration processes. Regularly update and maintain detailed procedures manual for the position. Comply with established record release procedures, including the Family Educational Rights and Privacy Act (FERPA). Minimum of three years of relevant work experience required. Excellent customer service skills and ability to interact with others in a kind and courteous manner. Strong understanding and effective use of information technology with the ability to quickly learn the database and administrative software programs in use at the College. Demonstrated advanced proficiency with Microsoft Office software, specifically Word and Excel required. Ability to learn and relay complex processes and policies. Requires accuracy and attention to detail. Ability to work effectively in a multi-tasking environment with many interruptions. Ability to follow directions, work with minimal supervision and complete work in a timely fashion. High proficiency in verbal and written communication skills. Demonstrated advanced proficiency with preparing and proofreading documents and correspondence to individuals and groups using mail merges and other related tools. Ability to maintain all information and records in a confidential and secure manner is required.
