The Clinic Operations Assistant & Scheduler will provide high-level administrative support to the Physician Practice Director and other clinic staff as needed. Reporting directly to the Physician practice director, the clinic operations assistant provides direct support in a one-on-one working relationship. Key Responsibilities:Administrative and Clerical Support:•Managing the Clinic Director's calendar and scheduling appointments.•Staffing clinics appropriately weekly.•Preparing correspondence, memos, reports, and other documents. •Maintaining filing systems (both physical and electronic). •Handling incoming and outgoing mail, faxes, and scanning documents.•Answering phones and directing calls appropriately. •Assisting with data entry and record keeping. (BLS up to date, Licensure, CLIA licenses, Inspection due dates, etc.)•Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.•Prepare expense reports.•Draft and prepare correspondence for internal announcements, provider forum meetings and staff meetings.Clinic Support:•Act as courier to and from clinics as needed.•Assisting with ensuring clinics have documents needed to perform daily functions•Maintaining clinic staff license/BLS documents. •Onboarding new clinic employees•Supports and promotes the Mission, Vision, and Values; adheres to all hospital policies and procedures; commits to the Standards of Conduct; maintains professional appearance.Project Assistance:•Assisting with the planning and execution of clinic projects. •Gathering and organizing information for reports and presentations. •Providing support for meetings and events. General Office Support:•Ensuring the office and clinics are well-stocked with necessary supplies. •Maintaining a clean and organized workspace. •Performing other general administrative and clerical duties as needed. Skills and Qualifications:•Strong organizational and time management skills: Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines. •Excellent communication and interpersonal skills: Ability to interact effectively with staff, patients, and other stakeholders. •Proficiency in Microsoft Office Suite: Experience with Word, Excel, Outlook, and PowerPoint. •Knowledge of medical terminology and procedures: Understanding of basic medical concepts and clinic operations. •Attention to detail and accuracy: Ability to maintain accurate records and ensure information is correct. •Ability to work independently and as part of a team: Self-motivated and able to work effectively both with minimal supervision and collaboratively with others. •Discretion and confidentiality: Maintaining confidentiality of patient information and clinic operations.Additional Considerations:Experience: Prior experience in a medical office or administrative setting is often preferred. Education: A high school diploma or equivalent is generally required.Specific Software/Systems: Experience with specific electronic health record (EHR) systems or other clinic-related software will be preferred.Medical Specialty: N/APhysical Setting: Office, Hospital, Medical ClinicsSchedule: Day shifts, Monday - Friday Experience: Administrative experience preferred, but not required.License/Certification Requirements: None.Physical Requirements: Must be able to sit, stand, bend, lift, push, pull, stoop, walk, reach, and move intermittently during working hours.
