Job Description :
Ultimate Staffing is seeking a Dispatching Coordinator to join a company in Irvine. This is an onsite role, M- F, 8am- 5pm, paying $22/ hour. Key Responsibilities:
  • Build and maintain professional relationships with service providers and clients.
  • Schedule and coordinate preventative maintenance services across multiple accounts.
  • Serve as a liaison between vendors and clients to ensure timely and accurate service delivery.
  • Maintain detailed records of service schedules, site information, and compliance updates.
  • Monitor open and closed work orders, updating status notes and generating reports.
  • Follow up with vendors and clients to ensure timely completion of inspections and documentation.
  • Review and verify purchase orders and service documentation for accuracy.
  • Apply appropriate pricing and submit completed work orders for billing.
Qualifications:
  • Associate degree or equivalent experience in scheduling, coordination, or operations.
  • Minimum of 1 year experience in service coordination, vendor management, or related field.
  • Strong multitasking and organizational skills.
  • Ability to interpret business processes, technical documentation, and regulatory guidelines.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word); experience with scheduling or ERP systems is a plus.
  • Comfortable working in a fast-paced environment with shifting priorities.
Physical Requirements:
  • Regularly required to sit, type, and communicate professionally.
  • Occasionally required to stand, walk, reach, or lift up to 25 pounds.
  • Visual acuity needed for reviewing detailed documents and reports.
