Purpose:
The Executive Assistant will provide executive-level administrative support and project management oversight to the Chief Executive Education Officer (CEEO) at the Stephen M. Ross School of Business. You will provide comprehensive professional, administrative, and project management support which requires comprehensive experience in administrative work and a broad knowledge of organizational procedures. You will work independently and collaboratively in a team environment, managing multiple tasks.

Responsibilities*
- Administrative Support (60%)
- Provide advanced, diversified, and comprehensive administrative support to the CEEO. This includes preparing, drafting, editing, and finalizing correspondence, including proposals, agreements, letters, memorandums of understanding, reports, presentations, meeting minutes, pre-budget summaries, or other materials.
- Provide high-level administrative support to the Senior Management Team as directed by CEEO. This includes calendar/scheduling support and email support when needed.
- Respond and act on behalf of the CEEO in matters that are confidential and requires comprehensive knowledge of university policies, including interactions with school leadership and other University officials.
- Bring items that need the CEEO's immediate attention to the forefront. Follow-up on status, complaints, and requests for information from clients, faculty, and staff.
- Manage calendars and coordinate meetings, including identifying attendees, scheduling conference rooms, preparing agendas, greeting visitors, and organizing and distributing background or presentation materials.
- Schedule travel arrangements and prepare necessary travel and meeting materials.
- Manage systems that ensure follow-up and correspondence with internal and external stakeholders
- Coordinate schedules for interviews, recruitment outreach, onboarding, space setup, and internal transitions
- Prepare P-Card reconciliations and travel expense reports.
- Manage intake and follow-up of IT-related staff requests (e.g., hardware, software) with Ross IT.
- Coordinate, and take meeting minutes at staff meetings.
- Project Management (40%)
- Lead plans such as meetings, special events, corporate visits, including planning, preparation, and execution as directed by CEEO.
- Take projects/action items for Leadership Team and committee meetings from original concept through completion using appropriate tools and communicate project progress to all stakeholders with responsibility for quality control.
- Manage office-wide policies, procedures, and best practices to support the oversight of administrative processes and business documentation with Chief Operating Officer
- Exercise discretion with confidential information related to donors and staff reporting to the CEEO.
- Work independently and within a team on special, nonrecurring, and ongoing projects.
- Be a project coordinator for special projects, which may include planning and coordinating multiple presentations, disseminating information, and organizing special events.
- Prepare periodic reports on activities.
Required Qualifications*
- Bachelor's degree and 5 years' experience in progressively responsible high-level administrative and office management positions in a corporate or academic environment, including direct support to executive-level leadership; or equivalent combination of education and experience.
- Some knowledge of project management tools and techniques.
- Experience working with CRM systems
- Direct work experience in a project management capacity.
- Proficiency in Microsoft Office software and other database and data retrieval, email, and calendar-keeping software and technologies.
- Experience coordinating complex travel arrangements and expense reconciliation.

Salary Information:
The posting range for this position is $58,300 to $71,900. This posting range reflects multiple factors involved in determining compensation, such as skills, experience, training, certifications, and other organizational needs. At Ross, it is not common for new hires to be offered a salary at the upper end of the range. Compensation decisions are based on the details of each situation.
