General Statement of Job
Under occasional supervision, performs specialized work in coordination and supervision of private and public events. Nights & weekends as required, no set schedule. Reports to the Recreation & Leisure Services Coordinator and/or Supervisor of Events & Venues.
Specific Duties and Responsibilities
Coordinates the execution of private and public events (i.e.: weddings, Quinceaneras, meetings, Food Truck Rodeo, and/or Kissimmee Night Out) working directly with client and/or party planner.
Assists with the preparation of rental agreements, event worksheets, reports, invoices and correspondence.
Assists with event set-up and break down.
Assists with open to public events, may serve as field supervisor during large events/festivals.
Assesses pre and post event conditions relative to maintenance or damage.
Assists in the training and supervision of event monitors and volunteers.
Greets participants & visitors and distributes accurate info regarding events & activities.
Maintain open and positive communication with staff.
Performs general administrative/office duties as required.
Operates audio visual equipment, HVAC controller and other equipment relative to event and venue operations.
Enforces rules and regulations to ensure safety of participants.
Maintains neatness and cleanliness of event areas.
Operate a vehicle and a variety of office equipment.
Works at customer service desk as necessary.
Performs related duties as required.
Minimum Education and Training
Requires two years of secondary education and two years of related experience in event management, hospitality, recreation or related field; or HS diploma or GED equivalent and four years of experience in event management, hospitality, recreation or related field; that provides the required knowledge, skills, and abilities. Must possess or have the ability to obtain first aid and CPR certifications. Must possess and maintain a valid State of Florida Drivers License as required.
Minimum Qualifications and Standards Required
Schedule:
Position requires at least 40 hours per week and may require working nights/weekends and possibly on a rotating schedule.
Physical Requirements:
Must be physically able to operate a vehicle and a variety of machines and equipment including a computer, basic office equipment, telephone, sound equipment, etc. Tasks involve the ability to exert moderate, though not constant, physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing, and pulling of objects and materials of moderate weight (12-20 pounds) to moderately heavy weight (up to 50 pounds).

Requires ability to read a variety of policy and procedure manuals, technical manuals, budget documents, fitness manuals, etc. Requires the ability to prepare reports, records, correspondence etc., with proper format, punctuation, spelling and grammar, using all parts of speech. Requires the ability to speak with and before others with poise, voice control and confidence.

Requires the ability to handle a variety of items, keyboards, office equipment, control knobs, buttons, switches, catches, tools, etc. Must have moderate levels of eye/hand/foot coordination.

Requires the ability to differentiate colors and shades of color.

Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress when confronted with emergency situations or tight deadlines. The worker may be subject to danger to a slight degree and to tension as a regular, consistent part of the job.

Knowledge of job:
Has thorough knowledge of the methods, procedures, & policies of the Parks and Recreation Department as they pertain to the performance of duties of the Event Specialist. Is knowledgeable on the laws, ordinances, standards, & regulations pertaining to the specific duties & responsibilities of the exposition. Has knowledge in the areas of public & private event planning, marketing & implementation, etc. Is able to make sound, educated decisions. Has the ability to plan & develop daily, short-term & long-term goals related to City purposes.
