Job Description: Were looking for an organized, detail-oriented Office Manager to help keep our programs running smoothly. This role handles payroll, employee files, billing systems, and general office operations. Youll play a key part in supporting our team and ensuring we provide quality services to individuals with developmental disabilities. Responsibilities will include but are not limited to:
Payroll & Financial Administration - Process biweekly payroll in QuickBooks, including timesheet review and tax reporting
- Pay bills, issue checks, and track expenses
- Handle W-2s, bonuses, and insurance audits
- Monitor and manage petty cash, deposits, and credit card documentation
Employee File & HR Management - Complete hiring paperwork, background checks, I-9s, and training documentation
- Maintain employee records and track training, certification, and compliance deadlines
- Assist with onboarding, benefits tracking, and employee verifications
Office & Technical Support - Maintain office technology (laptops, phones, printers, email setup)
- Coordinate with vendors for supplies, repairs, and system access
- Support file organization, digital archiving, and general office upkeep
Reporting & Compliance - Prepare reports for audits, service billing, and state requirements
- Complete required monthly, quarterly, and annual submissions (e.g. abuse/neglect billing, HCBS reports, vehicle renewals)
- Conduct system checks and maintain required agency documentation
