This position is responsible for maintaining student records, managing information requests, assisting with scheduling, and ensuring accurate data entry related to student services. The clerk acts as a liaison between students, parents, staff, and outside agencies to support the efficient operation of the guidance office.REQUIREMENTS: 1. Educational Level: High School diploma or equivalent. Formal training in office practices and experience preferred. 2. Certification/License Required: None 3. Experience: Minimum of two years of clerical experience, preferably in a school setting. 4. Physical Activities: The role requires sitting, standing, and walking for extended periods, along with use of computers and standard office equipment. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds. 5. Knowledge, Skills, & Abilities: Proficiency in Google Workspace(Docs,Sheets,Forms,Gmail,Drive,Calendar) and Excel. Familiarity with student information systems (Infinite Campus preferred). Strong attention to detail and organizational skills. Excellent written and verbal communication skills. Ability to maintain confidentiality and comply with privacy laws. The Board of Education and the Superintendent may accept alternatives to some of the above requirements. ESSENTIAL DUTIES: 1. Maintain and organize student cumulative folders and digital records in accordance with FERPA and district policy 2. Input, update, and manage student data in student information systems (e.g., Infinite Campus) 3. Assist with scheduling student appointments with counselors and handling general inquiries 4. Prepare and process requests for transcripts, enrollment verifications, and other student records 5. Support guidance counselors with scheduling changes, testing coordination, and documentation of counseling sessions 6. Greet students, parents, and visitors to the guidance office and direct them to the appropriate personnel 7. Generate reports and assist with data collection for academic, career, and social-emotional programs 8. Assist with the preparation and dissemination of counseling department communications (letters, emails, forms) 9. Track dual enrollment, HOPE GPA, and graduation requirement data in coordination with counseling staff 10. Coordinate withdrawal paperwork and record transfer information as students leave the school. 11. Maintain confidentiality of sensitive student information at all times 12. Perform other duties as assigned to support school counseling services.
