Job DetailsJob Location Highland - Highland, KS Position Type Part Time DescriptionSUMMARY The Student Support Services Office Assistant provides office assistance as described below. May occasionally be required to work weekends and/or evenings for special projects. ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned. 1. Provide general clerical services for the Director of Student Support Services, Transfer Advisor & Retention and Tutor Coordinator 2. Process student class attendance (Col182) and workshop attendance information for staff as requested 3. Operate variety of office equipment such as photocopiers, telephone systems, digital signage boards, etc. 4. Create spreadsheets, coordinate correspondence, manage databases and reports, and documents using Microsoft Office, Canva, and Canvas 5. Update and maintain SSS printed materials and college information available to students 6. Assist SSS members with computer usage and college information 7. Project a positive and professional image for HCC with a polite, helpful mannerism 8. Welcome visitors to the SSS Center and assist visitors with location information, staff and classroom information, etc. 9. Track SSS physical inventory 10.Prepare monthly wall calendar and create graphics/announcements for digital signage, create slide show for large screen TV showing SSS activities 11. Retrieve data from various sources 12. Review records and update associations in student record system 13. Maintain a study atmosphere in the SSS area 14. Assists with social media accounts for SSS 15. Assist in the design of the newsletter for SSS 16. Collect & review supporting documentation for SSS applications 17. Create and maintain SSS student files 18. Use Blumen software to record and track student usage of SSS program 19. Assist SSS Director with annual performance report (APR) 20. Maintain confidentiality on all information 21. Speak to tour groups about SSS services 22. Order supplies and submit IT tickets as needed 23. Assist with workshops and events for SSS QualificationsQUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience Associate's or technical degree required in office tech, business, or related field. Bachelor's degree desired. Two years relevant work experience or demonstrated proficiency in data and word processing. Prior experience in an office setting desired. Must have strong computer skills and be able to learn new computer programs easily. Language Skills Strong listening, oral, and written communication skills. Ability to read and comprehend instructions, correspondence, memos, and governmental regulations. Ability to compose and type routine correspondence. Must have good communication and people skills. Ability to effectively present information in one-on-one and small group situations to students, customers, and employees of the organization. Mathematical Skills Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ration, and percent and to draw and interpret graphs. Bookkeeping skills a plus. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Other Abilities and Skills Must have good organizing, coordinating, and decision-making abilities, and the ability to retain composure under pressure. Demonstrated sensitivity and experience working with students and individuals from diverse social, economic, ethnic, academic, and cultural backgrounds required. Ability to work without close supervision and handle a varied job situation. Should have a service orientation and positive attitude toward students, employees, and community people who interact with the college.
