This position assists walk-in customers, responds to emails, answers phone and routes inquiries. This position performs a variety of public services, accounting, and administrative duties including but not limited to collecting payments, making reservations, registering the public for programs and activities, issuing permits and providing information to the public. Additionally, support will be provided for the volunteer program and daily financial reports, as well as providing other general department support. The incumbent must always reflect a professional and courteous demeanor. Other duties include assisting with resource scheduling, data research, work order processing, departmental purchasing, compiling information for staff reports, maintaining records, and assisting with special projects as assigned. Essential Duties and Responsibilities Essential duties and responsibilities include, but are not limited to, the following:
- Provides excellent front-line customer service and responds to public inquiries. This includes answering phone calls, responding to emails and assisting walk-in customers by providing information, assisting with needs and resolving complaints.
- Assists the public with reservations for facilities, registration for programs, issuing permits, selling passes, and other services.
- Assists with the coordination and execution of recreational, volunteer and educational programs.
- Maintains a list of other governmental agencies and businesses in Lake Stevens for directing phone calls as necessary.
- Assists with financial reports, accounts payable and accounts receivable.
- Performs technical and clerical functions such as utilizing the department's database programs, spreadsheets, and producing department correspondence including letters, emails, social media messaging, newsletters, etc.
- Assists with purchases and maintains an inventory of supplies and materials for the department.
- Supports shipping and receiving tasks including placing orders, tracking shipments and inspecting items upon delivery; opens, reviews and distributes department mail.
- Creates service requests for the department.
- Assists with review and issuing of department permits.
- Maintains department's electronic and paper records and filing systems; archives and destroys records in accordance with state and local regulations; works with the City Clerk's Office in the maintenance of department records and preparing documentation in response to requests for public records.
- Supports scheduling vendors for facility maintenance or other public works areas of responsibility.
- Reconciles all payments daily; processes online payments, runs daily financial reports, reviews with appropriate staff, posts cash receipts to appropriate accounts utilizing software system.
- Maintains general office equipment including copiers, fax and postage machines; scheduling maintenance and service calls, stocking paper, toner, and supplies as needed.
- Maintains regular, reliable and predictable attendance.
