Our company is seeking a full time Accounts Payable Specialist to perform a variety of job responsibilities to ensure timely processing of vendor invoices in our ERP system, accurate posting of transactions to the general ledger and meet the overall needs of the accounting department. The position reports to the company's VP of Finance. Job Functions & Responsibilities
- Creates purchase invoices in Pentagon (computerized ERP system) from receivers by comparing part descriptions, quantities, prices, etc. to vendor invoices.
- Monitors unmatched receivers in holding files and from the monthly Purchase Receiving Register; contacts vendors for missing invoices.
- Performs follow-up on open purchase orders for which vendor invoices have been received.
- Monitors vendor core charges and status of the corresponding core receiving documents (i.e. core claims) in Pentagon.
- Processes miscellaneous (non-PO) invoices, including employee reimbursement forms, recurring charges (such as rents), bank loan statements, professional services, etc.
- Processes aviation fuel invoices, maintains supporting Excel spreadsheets, and updates customer fuel pricing.
- Updates cost basis of parts in inventory and work orders for freight charges.
- Reviews monthly vendor statements and researches past due outstanding invoices.
- Prepares check batches four times a month and pulls required invoices for check runs.
- Prepares manual checks for Canadian invoices and maintains check register.
- Scans paid invoices and credit memos into Pentagon and maintains overall organization of paid files.
- Matches vendor invoices paid via credit card to monthly statements and applies payments.
- Completes credit applications to establish new accounts with vendors.
- Creates new vendor records in ERP system and obtains Form W-9 information.
- Follow-ups on unredeemed accounts payable checks.
- Conducts the annual purge of the vendor files.
- Prepares year-end Form 1099 for vendors/IRS.
Other:
- Participates in the annual physical inventory of aircraft parts.
- Performs research projects and other special projects as requested by accounting team members and the VP of Finance.
- Performs other duties as requested to meet the overall needs of the accounting department.
Qualifications and Requirements
- Associates degree in Business Administration or Accounting preferred
- Three years of full-cycle Accounts Payable work experience preferred
- General knowledge of accrual-based accounting principles, with the ability to apply such knowledge to Accounts Payable transactions
- Experience using a computerized Accounts Payable system (ERP system experience preferred)
- At least intermediate proficiency in Microsoft Word and Excel
- Ability to analyze process flows and work with other employees to resolve problems
- Excellent communication skills
- Good organizational skills, including time management, prioritization of tasks, and Outlook/e-mail file structure
- Team worker and willingness to accept a variety of responsibilities
- Ability to prioritize tasks and manage volume of work assigned
Salary Range: $26.00 - $31.00 per hour Note: Candidates are required to pass a criminal background check.
