Benefits: • Health and Dental Insurance for employees • Paid vacation and holidays Essential Job Functions • Perform basic bookkeeping, accounts receivable (A/R), accounts payable (A/P), and daily journal entries for accounting purposes. • Facilitate email communication with customers/clients regarding A/R. • Assist with copying and emailing to NY related to cash entries, checks, credit card transactions, and wire transfers. • Process ACH charges through portal site and prepare monthly state tax reports. • Prepare, scan, and maintain all invoices, accounting documents and records accurately. • Review billing statements, invoices, credit memos, price adjustments, orders, vendors receipts and credit card statements and similar documents for accuracy; alert management of any discrepancies. • Assist with filing records, typing reports/forms, and preparing memos or letters for management. • Greet and direct visitors at the front desk; answer, screen, and forward incoming calls to the appropriate persons. • Attend to Will-Call customers by answering questions, collecting payment and generating receipts. • Support other departments such as Sales, Purchasing, Accounting, Fresh Fish and Warehouse as needed. Responsibilities include, but not limited to: - input, update, and maintain orders; prepare invoices, and bill-back data within the company database; update and maintain customer records accordingly. - assist sales associates by monitoring active purchase orders and ensuring orders are completed on time. - open new accounts and manage driver expenses (e.g. gas/hotel receipts). - process receipts and invoices in timely manner for payment. (?) - answer customers questions about product features, benefits, and procedures, and escalate complex inquiries to the supervisor or appropriate team member. - assist with shipping and receiving logistics, customer orders, inquiries, and returns. • Update and maintain business insurance, contracts, registrations, and general business licenses. • Operate office machines such as copiers, scanners, PCs, phones, and voicemail system to perform clerical duties. • Order office supplies as requested by department managers. • Manage calendars and appointment scheduling. • Attend company events and functions outside of normal working hours. • Other duties as required from managers. Obligation to answer to all management as requested. Physical Requirements • Able to sit and work for extended periods of time. • Ability to type and use the computer for extended periods of time. • Ability to talk, hear, stand, sit, walk, reach, bend, kneel, and lift and/or move up to 20 pounds. • Working Conditions o Noise Level: Normal o Indoors Other Requirements • Business level English required - read/write/speak/listen. • Basic level Japanese preferred - read/write/speak/listen. • Maintain a positive attitude. • Ability to work independently and efficiently in a team. • Ability to adapt to frequent changes in assignments and workload. • High School Diploma required. Bachelor's Degree in Administration or Accounting or other relevant field preferred. • At least 1 year of experience in office administration or accounting required. Knowledge and Skills • Process Intermediate mathematical knowledge - markups, discounts, combining/converting measurements, counting inventory, currency, etc. • Basic accounting/bookkeeping knowledge-AP/AR and experience using accounting software. • Basic Microsoft Office proficiency (Word, Outlook, Excel, PPT, etc). • Strong communication, interpersonal and problem-solving skills. • Exceptional organization and time management skills. • Excellent customer service skills. • Knowledge of Japanese foods and sakes is a plus.
