The DAO provides support services to facilitate the efficient and effective execution of the mission and vision of the JYF and its affiliates. The DAO is administered through JYF's Deputy Executive Director / Senior Director of Administration. The DAO comprises the departments of Facilities, Capital Projects, Finance, Information Technology, Information Security, Retail Operations, Safety & Security, Project Management, and the functions of JYF's Risk Management, Courier Services, Compliance and Board engagement duties. The Office Manager is a key function within the DAO. The Office Manager is the principal aide, advisor, and analyst to the Deputy Executive Director, serving as an essential operational and strategic liaison with constituents and providing executive support for initiatives, special projects, and communications with organization-wide impact. The Office Manager oversees the agency's risk management functions, supervises courier services, and participates in project teams as assigned. The office manager supervises wage employees and volunteers within the DAO. This role offers a dynamic and engaging work environment where your managerial, organizational, and attention to detail skills will be highly valued and constantly put to good use. Whether you are handling communications, managing schedules or projects, coordinating meetings, generating reports, or assisting with various initiatives, your contribution will be integral to the success of the DAO and JYF. Minimum Qualifications Customer Service - Considerable knowledge of principles and processes for providing customer service. This includes setting and meeting quality standards for services, and evaluation of customer satisfaction. Dedicated to meeting the expectations of the DED/SDA and other senior executives by maintaining effective relationships with the offices' stakeholders. Administrative Practices - Considerable knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology. Significant executive support experience, including supporting C-level executives. Exceptional organizational skills and impeccable attention to detail. Technology - Expert knowledge of office electronic equipment, and computer hardware and software, i.e., MS Word, Excel, PowerPoint, Access, Outlook and/or Google Suite. Ability to design and edit graphic presentations and materials. Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications). Interpersonal Relationships - Develops and maintains cooperative and professional relationships with employees and all levels of management to include representatives from other departments and organizations. Critical Thinking - Using logic and reasoning to understand, analyze, and evaluate situations and then to research information to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to the situation. Applies general rules to specific problems to produce answers that make sense. Combines pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events). Judgment and Decision Making - Exercises appropriate judgment in establishing priorities and resolving complex matters. Considering the relative costs and benefits of potential actions to choose the most appropriate one. Make appropriate, informed decisions regarding priorities and available time. Risk Management - Using designations as an Associate in risk management and professional credentials as a chartered property casualty underwriter, develop techniques to create effective risk management strategies that combine insurance coverage with other measures and mitigate the impact of losses on JYF's bottom line. Confidently answer internal and external stakeholder questions with a legal understanding of insurance policies. Confidentiality and Social Perceptiveness - Handling interactions with poise, tact and diplomacy and in a confidential manner. High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and Commonwealth of Virginia partners. Ability to maintain proprietary and confidential information. Project Management - Exercises a system approach to project planning, scheduling, control, design, evaluation, and leadership of assigned projects. Capable of performing frameworks for scoping projects, sequencing activities, utilizing resources, and minimizing risks. Administrative knowledge of agency's capital & maintenance reserve projects. Knowledge of Virginia's Construction and Professional Services Manual (CPSM) acceptable practices. Project Management Professional (PMP) preferred. Communication - Ability to communicate ideas and proposals verbally and in writing effectively so others will understand; to include the preparation of reports, agendas, and policies. Ability to listen and understand information and ideas being presented verbally and in writing. Able to maintain a high level of integrity and discretion in handling confidential information. Time Management - Strong organizational skills and ability to manage and coordinate several projects simultaneously, support team members, and track complex tasks. Ability to plan and organize daily work routine. Estimates expected time of completion of elements of work and establishes a personal schedule accordingly. Implements work activities in accordance with priorities and estimated schedules. Additional Considerations - Completes specific duties as assigned within established policy and guidelines and in accordance with the DED's direction. - Assists the agency and state government in the event of an emergency declaration by the Governor. - Maintains confidentiality of sensitive information as it pertains to the Jamestown-Yorktown Foundation. - Accesses data that is related to position or department responsibly. - Ensures compliance with JYF's Confidentiality policy and statement. - Accepts responsibility for personal conduct. - Demonstrates respect towards all staff and volunteers. - Responds to others in a constructive way. - Communicates professionally both orally and in writing.
