Position Summary

The Receptionist/ Patient Care Coordinator will strive to deliver five-star concierge-level customer service to every patient from their initial evaluation through each subsequent contact until discharge. This includes fielding and responding to patient questions and requests and providing prompt, thorough follow-up.

** The ability to travel between offices and flexibility (with notice) to cover additional shifts or work extended ours is required **

Accountabilities

The Receptionist / Patient Care Coordinator is the face of the practice and must make an excellent first impression. Friendly, outgoing, engaging, with a positive, can-do attitude, commitment to delivering an excellent patient experience, and the highest standards of professionalism and courtesy are required.

This position reports to the Office Manager who may at times not be onsite and therefore requires confidence, resourcefulness, an entrepreneurial spirit, and superior problem-solving capabilities, as well as the ability to work independently without direct day-to-day supervision.

Success will be measured based upon the following:

  • Displaying top notch professional etiquette in all interactions with both patients and H&D staff.
  • Articulate and strong communication skills both written and verbal, including use of correct grammar, spelling, and punctuation.
  • Attention to details and consistent follow-up to ensure accuracy and process completion.
  • Crisis management skills; the ability to triage unexpected events to help mitigate any adverse effects on the practice or patient.
  • Discretion when handling confidential information.
  • Willingness to go the extra mile to ensure a positive patient experience.

Day-to-Day Operations:

  • Check in patients for their appointments and collect copays.
  • Cancel and/or reschedule patients as needed.
  • Assist new patients in completion of intake paperwork.
  • Respond to all phone and email queries.
  • Monitor and follow-up on needed referrals.
  • Fill last minute cancellations from the clinic's waitlist.
  • Close-out and reconciliation of daily receipts.
  • Run copay reports daily to ensure optimal collection rates.
  • Daily quality assurance checks.
  • Legal Compliance: Follow all federal and state laws and guidelines (e.g, Medicare, HIPAA).

Technical Skills

  • Basic office technology skills including Microsoft Office Suite (Outlook, Word, Excel, Teams), PDF, Scanners, copy machines and fax machines, Telephone
  • Electronic Medical Records (EMR) systems and online scheduling (we use PromptEMR)
  • Familiarity with medical terminology and HIPAA compliance regulations

Education/Prior Experience:

  • High School Diploma (associate degree or higher preferred)
  • Minimum of 1-year front desk experience in a healthcare setting (required)
  • Familiarity with healthcare insurance billing policies and procedures (desirable)

Job Type: Full-time

Pay: $20.00 - $24.00 per hour

Expected hours: 40 per week
