Job Type Full-time Description Position Summary: The Data Specialist plays a critical role in maintaining and analyzing data related to the museum's donor and point of sale (POS) systems. This position will be responsible for the functionality of the identified databases/software. This position ensures the accuracy, consistency, and usability of key information used across departments. The role includes maintaining, auditing and updating donor records, maintaining sales and visitor data, and generating reports that inform development, operations, and strategic decision-making. A successful candidate will be detail-oriented, organized, and comfortable working with data in a mission-driven environment focused on children and families. Essential Functions/Major Responsibilities: Donor Database (CRM):

  • Audit, update, and maintain donor records with accuracy and confidentiality.
  • Process donations, pledges, acknowledgments, and receipts when primary staff responsible is unavailable.
  • Assist with data segmentation for fundraising campaigns, newsletters, and event invitations.
  • Generate regular reports and dashboards for development and executive staff.
  • Ensure data integrity.
  • Ensure data compliance with fundraising standards and privacy policies.
Point of Sale (POS) System:
  • Maintain accurate product, sales, and visitor data from POS software.
  • Update membership data
  • Analyze sales and attendance trends to inform operational and marketing decisions.
  • Generate reports for Memberships, Store and Divy's sales, ticketing, memberships, and events.
  • Maintain SKU integrity
  • Data clean up projects
General Data Duties:
  • Perform data quality checks and troubleshoot discrepancies.
  • Assist in the integration and cross-analysis of data across systems.
  • Support ad hoc data requests from various departments.
  • Document data processes and create internal reference guides.
Requirements Position Requirements:
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Excellent organizational and communication skills.
  • Basic knowledge of data visualization or reporting tools.
  • Understanding of fundraising and membership processes.
  • Familiarity with donor CRM systems (e.g., Donor Perfect) and POS systems (e.g., TAM, Square, or similar) is highly desirable.
  • Proficiency in Excel (including formulas, pivot tables, and charts).
Education and/or Experience:
  • Associate's or Bachelor's degree in data management, business, or related field (or equivalent experience).
  • Minimum 1-2 years of experience with data entry, database management, or related administrative roles.
  • Experience working in a museum, nonprofit, or similar environment preferred.

  • Regularly required to sit for long periods of time and occasionally lift and or move up to 25 pounds.

  • Vision sufficient to read a computer screen, 12 point and finer printed text, and handwritten documents.
  • Manual dexterity to operate a computer keyboard on a daily basis.
  • Speak and hear sufficiently to communicate clearly in person, over the telephone, and in small groups.
  • Mental stamina for problem solving and dealing with stressful situations; prioritizing multiple tasks; interpreting and applying oral/written instructions.
  • No ongoing and consistent extraordinary physical effort or strain involved in this position.
This is a full-time position, onsite in Everett. The pay is $27-30 an hour depending on experience.
