Job Title: Receptionist Location: JVIS KSA Shelby Tsp Position: Temporary (6 month contract) Department: Administration Reports To: HRM JOB SUMMARY: As a receptionist, you will be the face of JVIS KSA providing front-line administrative support, ensuring smooth day-to-day operations, and delivering exceptional service to both internal and external stakeholders. Oversee day-to-day office activities as main point of contact in reception area. You will manage the reception area, handle phone calls, and assist with various administrative tasks to contribute to the overall efficiency of the office. Provide direct administrative support to executive and non-executive staff as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts and customer database. Set up, schedule and manage special events and meetings. Coordinate food deliveries when requested. KEY RESPONSIBILITIES:Customer Service & Front Desk Management Greet and assist visitors, clients, and vendors with a friendly and professional demeanour. Ensure visitors sign in, issue visitor badges, and notify the appropriate personnel of their arrival. Maintain a clean and organized reception area, ensuring it reflects the company's professional image. Phone & Email Communication Answer and direct incoming phone calls promptly and courteously, transferring calls to the appropriate department or individual. Respond to general inquiries via email and direct communications to the relevant department. Schedule appointments, meetings, and conference rooms as required. Administrative Support Handle incoming and outgoing mail, packages, and deliveries, ensuring proper distribution to relevant departments. Provide administrative assistance to various departments, including filing, data entry, and document management. Assist in maintaining office supplies and coordinate with suppliers to order necessary items. Facility Coordination Coordinate visitor parking and ensure access to the building for approved visitors. Assist with scheduling maintenance or facilities-related requests. Ensure health and safety protocols are followed for all visitors and employees. Data Entry & Record Keeping Maintain accurate logs of visitors, phone calls, and deliveries. Support HR and other departments with maintaining employee records and other documentation. Support for Events & Meetings Assist with the preparation and coordination of company meetings, conferences, and events. Set up meeting rooms, arrange catering, and ensure technical equipment is operational. SKILLS & QUALIFICATIONS:Education: High school diploma or equivalent. Additional certification in office administration or customer service is a plus. Fluent in Arabic will be an advantage.Experience: Previous experience in a receptionist or administrative role, ideally in a manufacturing or corporate environment. Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with visitors, clients, and employees. Organizational Skills: Strong multitasking and organizational abilities to handle a fast-paced environment. Computer Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook), and general office software. Familiarity with office equipment like phones, fax machines, and copiers. Professionalism: High level of professionalism and discretion when handling sensitive or confidential information. Attention to Detail: Strong attention to detail, ensuring that tasks are completed accurately and on time. WORKING CONDITIONS:Location: JVIS KSA Shelby Work Hours: Temporary (6 month contract) Physical Requirements: Ability to sit for extended periods of time, stand, talk, hear, and walk. Occasionally bend, squat, reach, twist/turn and lift up to 10 lbs. and manage a fast-paced office environment.
