Position Purpose: Under the direction of the Vice President, the Assistant Property Manager supports all operational aspects of a diverse real estate portfolio, with a primary focus on Nob Hill Business Center and Plaza Hacienda. This includes oversight of daily operations, tenant relations, vendor coordination, maintenance planning, financial tracking, and construction support. This is not a standard 8-5 desk job - occasional after-hours calls from tenants or vendors, including evenings and weekends, may arise. The ideal candidate is responsive, reliable, and adaptable to the dynamic nature of commercial property operations. Essential Duties and Functions/Responsibilities/Tasks:Operations & Strategic Support
- Oversee day-to-day property operations and guide on-site teams as needed
- Support the preparation of budgets, financial reports, and lease analyses
- Assist in identifying cost-saving opportunities and revenue enhancements
Tenant Relations
- Build and maintain strong tenant relationships through frequent communication
- Ensure timely response to tenant needs and effective resolution of issues
- Assist with planning and implementing occasional tenant appreciation events
Personnel Management
- Manage Heritage staff or third-party service providers (janitorial, security, maintenance)
- Support hiring, training, scheduling, and performance evaluations of site personnel
Vendor Coordination
- Negotiate, execute, and oversee vendor contracts and service agreements
- Evaluate vendor performance and ensure services meet company standards
- Obtain bids for repairs and improvements as needed
Maintenance, Safety & Security
- Conduct regular property inspections and follow up on corrective actions
- Ensure safety protocols, emergency procedures, and preventive maintenance plans are in place
- Support the coordination of repairs, improvements, and service disruptions
Financial Oversight
- Review operating and capital budgets; track budget-to-actuals
- Understand lease language, rent structures, and pass-through expenses
- Track tenant billbacks, operating expenses, and CAM charges
Construction Management
- Support tenant improvement and capital projects from planning to closeout
- Coordinate architectural plans, contractor bids, schedules, and move-ins
HC11 Requirements Education & Experience
- Bachelor's degree in business, real estate, or a related field required
- 3-4 years of customer service, administrative, or property operations experience
- Experience in property management, bookkeeping, or construction coordination preferred
- Event planning experience a plus
