ABOUT THE ROLE
The Mailroom Associate supports the day-to-day operations of the mailroom by managing incoming and outgoing mail, ensuring accurate and timely distribution of important documents, and maintaining a clean, organized workspace. This role is essential to the smooth functioning of our organization.

Base pay: $17.00 $18.00 per hour (full-time, 40 hours per week)
WHAT YOULL DO
Receive, sort, and distribute incoming mail and faxed documents
Scan and upload mail into the Client Relationship Management (CRM) system
Review incoming Offer in Compromise (OIC) packets, upload them, and notify assigned Case Managers
Maintain accurate logs of incoming and outgoing mail to ensure tracking and efficiency
Keep the mailroom clean and organized, including inventorying and storing supplies
Monitor and restock mailroom supplies such as envelopes, shipping materials, and postage
Troubleshoot minor equipment issues and coordinate repairs when necessary
Perform quality audits to verify the accuracy of scanned and uploaded materials
Identify process improvement opportunities and suggest solutions to enhance mailroom operations
Occasionally deliver priority mail to the post office or replenish supplies as needed
Collaborate with the team to ensure task completion and maintain accurate daily work logs
Protect sensitive financial documents by following strict confidentiality policies
Work cross-functionally with departments and managers on special projects as assigned
Perform other essential job functions as required
WHAT YOULL NEED TO HAVE
Strong attention to detail and accuracy in data entry and document handling
Excellent written and verbal communication skills
Ability to work independently and within a team
Discretion and integrity when handling confidential information
Self-motivated with the ability to take initiative
Ability to prioritize and manage competing deadlines in a fast-paced environment
Positive attitude and willingness to learn
Professional, effective communication across all levels of the organization
Familiarity with mail shipping software and document tagging systems
Proficiency in Microsoft Office, Excel, Google Gmail, Calendly, and internal communication tools
High school diploma or equivalent
Minimum two years of experience in a mailroom or mail services role
