Salary: $5,867.00 - $7,131.00 Monthly Location : San Leandro, CA Job Type: Full-Time Department: Police Department Opening Date: 08/01/2025 Closing Date: 8/18/2025 5:00 PM Pacific The Position Definition: Under general supervision, performs recordkeeping, data entry, filing, indexing, copying, and other general clerical work with police records, reports, and data; receives, prepares, processes, coordinates, and disseminates information provided by citizens, police officers, city and departmental personnel; types, processes, files, scans, prints, and faxes a wide variety of police reports and records; and performs related work as required. There is currently one full-time and one part-time vacancy available. Part-time position(s) will not exceed a maximum of 999 hours per City fiscal year (July through June). Distinguishing Characteristics: This journey-level classification is responsible for independently performing the full range of duties related to customer service and maintenance, processing, and distribution of Police Department records. Positions at this level exercise judgment and initiative in their assigned tasks, receive only occasional instruction or assistance as new or unusual situations arise and are fully aware of the operating procedures and policies of the work unit. Supervision Exercised and Received: Exercises no direct supervision over staff. Receives general supervision from assigned supervisory or management personnel. Duties and ResponsibilitiesExamples of Typical Job Functions: The typical job functions of the classification may include, but are not limited to, the functions below and are subject to changes in operational necessity.
  • Performs recordkeeping, data entry, filing, indexing, copying, and other general clerical work with police records, reports, and data.
  • Maintains and updates records according to established policies and procedures, including tracking, scanning, and filing reports, accessing and redacting sensitive and/or confidential information, and indexing a wide variety of violations and notifications; purges records and files as required; monitors and responds to department email requests for information.
  • Maintains an inventory of stored and towed vehicles and notifies responsible agency; processes all appropriate paperwork and/or documentation.
  • Processes, files, scans, and prints a wide variety of police case reports and records including, but not limited to, DMV paperwork, child and family services referrals, domestic violence, missing person, arrest, citations, declarations, traffic accident, training, subpoenas, stolen property, evidence, warrants, site releases and bails.
  • Performs a variety of customer service functions applicable to police department operations including records release and maintenance, receiving, responding to, and entering requests for police reports, and screening and forwarding telephone calls and emails; collects checks and cash, maintains ledgers, and prepares and issues receipts; schedules and calendars appointments for fingerprinting, court ordered bookings, registrant booking, and child seat inspections.
  • Performs background check services for members of the public and outside agencies via mail, email, and/or in-person.
  • Enters, updates, and/or submits a variety of statistical data and reporting into the appropriate computer systems, including the California Department of Justice (DOJ) system, with a high degree of accuracy; distributes copies of completed reports and documentation to the appropriate destination.
  • Reviews and processes local arrest warrants; utilizes California Law Enforcement Telecommunications System (CLETS) and Wanted Persons System (WPS) as applicable.
  • Verifies and reviews forms and reports for completeness and conformance with established regulations and procedures; applies departmental and unit policies and procedures in determining completeness of applications, records, and files; and

QualificationsExperience and Education Guidelines: Any combination equivalent to experience and education that would most likely provide the required knowledge and abilities would be qualifying. A typical way to obtain the knowledge and abilities would be: Education: Equivalent to completion of the twelfth (12th) grade.
