Position Type: Secretarial/Clerical/Secretary - 12-Months Date Posted: 7/23/2025 Location: West Harvey-Dixmoor 147 Administrative Offices Date Available: 08/04/2025 Closing Date: 08/06/2025 District: West Harvey-Dixmoor School District #147 HR Assistant/Family and Community Liaison Job Description Position: HR Assistant/Family and Community Liaison Department: Human Resources & Student Services Reports to: HR Director/Principal Classification: Full-time, 12-month position FLSA Status: Non-exempt Position Summary The HR Assistant/Family and Community Liaison serves in a dual capacity supporting both human resources functions and family/community engagement initiatives. This position provides administrative support to the HR department while building and maintaining positive relationships between the school, families, and community members to enhance student success and school climate. Essential Functions Human Resources Responsibilities (50%)Administrative Support:
  • Assist with recruitment processes including posting positions, screening applications, and scheduling
  • interviews
  • Maintain personnel files and ensure compliance with record-keeping requirements
  • Process new hire paperwork and coordinate onboarding activities
  • Update employee information in HRIS systems and maintain accurate databases
  • Prepare HR correspondence, reports, and presentations
  • Coordinate substitute teacher assignments and maintain substitute databases
Benefits and Payroll Support:
  • Assist employees with benefits enrollment, changes, and questions
  • Process leave requests and maintain attendance records
  • Support payroll processing and address payroll inquiries
  • Coordinate professional development registration and tracking
Compliance and Documentation:
  • Ensure compliance with federal, state, and local employment regulations
  • Assist with background checks, reference checks, and credential verification
  • Maintain confidentiality of sensitive employee information
  • Support investigation processes and documentation as needed
Family and Community Liaison Responsibilities (50%) Family Engagement:
  • Serve as primary contact for families seeking support navigating school systems and resources
  • Conduct home visits when appropriate to build relationships and address barriers
  • Facilitate communication between families and school staff
  • Coordinate translation services and multilingual communications
  • Organize and facilitate parent workshops, information sessions, and family events
Community Partnerships:
  • Develop and maintain relationships with community organizations, social services, and local
  • businesses
  • Identify and coordinate community resources to support student and family needs
  • Plan and implement community engagement events and volunteer opportunities
  • Collaborate with local agencies to provide wraparound services for students and families
Student Support:
  • Assist families in accessing community resources such as food assistance, healthcare, housing, and
  • mental health services
  • Support attendance improvement initiatives through family engagement
  • Coordinate with counselors and social workers to address student needs
  • Maintain resource database and referral tracking systems
Required QualificationsEducation:
  • High school diploma or equivalent required
  • Associate's degree in human resources, education, social work, or related field preferred
Experience:
  • Minimum 2 years of administrative or customer service experience
  • Experience working with diverse populations and multilingual families preferred
  • Previous experience in educational settings or human resources helpful
Skills and Competencies:
  • Strong interpersonal and communication skills, both written and verbal
  • Bilingual capabilities highly preferred (specify languages based on community demographics)
  • Proficiency in Microsoft Office Suite and database management
  • Knowledge of HRIS systems and payroll software preferred
  • Ability to maintain strict confidentiality and handle sensitive information
  • Cultural competency and sensitivity to diverse backgrounds
  • Strong organizational skills and attention to detail
  • Problem-solving abilities and resourcefulness
Physical Requirements
  • Ability to lift up to 25 pounds occasionally

Working Conditions
