JOB TITLE: Administrative Assistant to the Principal's Office LOCATION: Mount Greylock Regional School (Grades 7-12) REPORTS TO: Principal POSITION STATEMENT: The Administrative Assistant to the Principal plays a vital role in the daily operations of Mount Greylock Regional School (Grades 7-12), providing direct support to the Principal and Assistant Principal. This role requires professionalism, discretion, efficiency, and strong multitasking skills, as well as the ability to engage positively with students, staff, families, and the broader school community. Qualifications: Required: High school diploma or equivalent. Minimum of three years of administrative or office experience, preferably in an educational setting. Proficiency with Google Workspace and Microsoft Office Suite. Strong interpersonal, organizational, and written communication skills. Ability to manage confidential information with discretion. Preferred: Associate's or Bachelor's degree Experience with school data systems (e.g., PowerSchool). Familiarity with Massachusetts public school operations and protocols. Experience working with adolescents and diverse populations. Key Responsibilities: Administrative & Operational Support Provide direct administrative support to the Principal and Assistant Principal, including calendar management, correspondence, and internal communication. Maintain organized records, including student discipline files and administrative documents. Coordinate exam schedules (midterms, finals, senior exams) and support graduation planning and related communications. Prepare and distribute internal documents such as staff directories, duty rosters, schedules, ballots, and logistical materials. Assist with planning and executing school events, including faculty meetings, open house, orientation, and graduation. Order and manage office supplies. Support hiring processes by collecting applications, scheduling interviews, and preparing materials. Coordinate professional development paperwork, including registrations, certificates, and submissions to the district office. Track and submit absence forms and timesheets to the district. Front Office & Student Services Serve as the front desk point of contact for students and visitors; issue visitor passes and deliver messages or materials. Assist in maintaining a calm and respectful office environment when students are sent for behavioral reasons. Collect and track student information, including documentation of waivers and permits. Facilities & Scheduling Coordinate use of school spaces by internal and external groups; communicate with custodial and athletic staff as needed. Update mailboxes, bulletin boards, and job posting areas for staff. Maintain emergency and evacuation rosters and ensure documentation is current. Manage distribution and tracking of keys for faculty, staff, and substitutes. Substitute Coordination Maintain an up-to-date substitute roster and arrange daily staff coverage. Provide substitutes with schedules, room assignments, and attendance training; debrief after assignments as needed. Other Duties: Sort and distribute school mail. Prepare plaques and certificates for staff recognition and milestone events. Support summer data entry and communications in preparation for the school year. Assist with Counseling Office tasks as needed. Perform additional duties as assigned by the school administration. Benefits & Compensation: Salary Range: $45,000-$55,000 annually. The posted salary is negotiable and the final salary at the time of a job offer will be reached by mutual agreement based on the candidate's qualifications, including education, relevant experience, and alignment with the needs of the position.
