Summary of Job: The Admissions Coordinator supports the site by facilitating incoming petitions and referrals, assisting with documentation and coordination efforts, and ensuring compliance with Title 36 involuntary commitment procedures. This position works collaboratively with internal teams and external partners to support smooth admissions, data accuracy, and high-quality care coordination for guests served.
Essential Duties and Responsibilities: Referral and Admissions Support: - Facilitate the processing of incoming petitions, referrals, and transfer packets in a timely and organized manner.
- Assist in gathering and reviewing necessary documentation to support the admissions process.
- Support the coordination of inpatient transfers and ensure required information is obtained prior to admission.
Care Coordination and Communication: - Assist in coordinating with hospitals, law enforcement, community providers, and family members to obtain collateral information as part of the admissions process.
- Participate in multidisciplinary team meetings to ensure timely and person-centered care.
- Communicate effectively with internal teams to relay updates on referrals, petitions, and required actions.
Data Management and Quality Assurance - Enter accurate and timely information into the electronic health record (EHR), including demographic data, insurance details, diagnosis codes, and prior authorization information.
- Assist with resolving minor documentation errors and updating records as directed.
Reporting and Compliance - Maintain familiarity with the Title 36 process and ensure required documentation is submitted in accordance with timelines and procedures.
- Assist in compiling daily census data and other routine reports as requested by the supervisor or funders.
- Support the team in adhering to company policies, AHCCCS/Mercy Care guidelines, and confidentiality standards.
Guest Advocacy - Facilitate multidisciplinary team meetings to promote timely, person-centered service delivery.
- Serve as a liaison between internal departments, external partners, and community providers including hospitals, law enforcement, case managers, and other agencies.
- Coordinate with individuals' support networks (family, natural supports, community programs) to gather collateral information and support continuity of care.
- Address and resolve first-tier customer service concerns and ensure a high-quality guest experience.
Administrative Oversight - Maintain updated logs and trackers for admissions, discharges, and referral sources.
- Support administrative tasks such as inventory tracking, filing, and basic reporting functions.
- Stay up to date on changes to admission protocols, insurance requirements, and internal workflows.
Community Engagement - Partner with local law enforcement and community stakeholders for ongoing education on CIT programs and the petition process.
- Represent RI International at community outreach events to build partnerships and promote service awareness.

Education & Experience: - Bachelor's Degree in a behavioral health field and one (1) year of behavioral health experience; or
- Bachelor's Degree in any field and two (2) years of behavioral health experience; or
- High School Diploma or equivalent and four (4) years of behavioral health experience.
Skills: - Working knowledge of behavioral health systems and the Title 36 petition process preferred.
- Excellent communication skills, both written and verbal.
- Strong interpersonal skills with a focus on customer service and teamwork.
- High attention to detail and strong organizational skills.
- Proficiency with Microsoft Office Suite and experience with EHR systems.
- Ability to work in a fast-paced environment and manage multiple tasks effectively.
Driving Requirements: - If driving is required for this position, must meet all requirements outlined in RI International driving policy.
- If not qualified to drive per driving policy, a Non-Driver Attestation form must be signed.
Miscellaneous Requirement(s): - Applicants must be at least 18 years old unless residing in a state where funder or government regulations set a different minimum age requirement.

- Ability to maintain a high level of confidentiality (HIPAA guidelines and regulations) and professionalism.
