SCOPE AND PROBLEM:

ABOUT THE FELLOWSHIP OPERATIONS MANAGER

The Fellowship Operations Manager, reporting to the Director of Fellowship, will serve as the operational leader for Basta's flagship direct-to-student offering, the Fellowship. You will be part of a cross-functional team that delivers on the Fellowship Experience's promise to young people: job placement rates of 75%+, among the highest in the country.

In this role, you will navigate the dynamic intersection of program operations, technology integration, event management, and project management between the first phase of the Fellowship, Prepare, and the second phase, Search. This role is for someone who thrives in motion — who can pivot quickly, solve problems on the fly, and isn't afraid to get their hands dirty to make things happen. You're equal parts builder, troubleshooter, and communicator. On any given day, you might be finalizing a recruitment campaign, coordinating logistics for a 100-person in-person workshop, or jumping in to fix a spreadsheet formula before a 6pm deadline.

You'll need to be flexible, responsive, and unafraid to take on both high-level planning and on-the-ground tasks with a commitment to helping young people succeed.

RESPONSIBILITIES

Program Operations Management: Overseeing the day-to-day and big-picture logistics that keep the Fellowship running smoothly across both phases.

  • Manage the planning and execution of each Phase 1 Fellowship cycle (4 per year), including onboarding, end-of-program wrap-up, and transition to Phase 2
  • Build and maintain monthly, quarterly, and annual operations plans to align program timelines and team efforts
  • Partner with the Director of Fellowship to ensure high-quality, consistent program delivery
  • Maintain and optimize systems and tools that connect program content, logistics, and data
  • Coordinate calendars, scheduling, and internal/external communications across all program stakeholders
  • Track, organize, and report on program data and engagement metrics

Fellow Recruitment & Onboarding: Driving outreach and selection efforts to bring new fellows into the program.

  • Lead the recruitment and selection of ~250 fellows annually across multiple cycles
  • Manage application rounds with over 600 applicants, ensuring efficiency and equity
  • Serve as the primary liaison for external recruitment partners and institutions
  • Refine and improve the fellow application, selection, and onboarding experience

Contractor & Vendor Coordination: Managing the people and services that support fellows during their experience.

  • Recruit, train, and oversee up to 40 contract resume coaches per cycle
  • Schedule, coordinate payments, and manage relationships with all contractors
  • Monitor performance of resume coaches based on feedback and fellow outcomes
  • Make data-informed decisions to guide hiring and training of future coaching teams
  • Manage contracts and logistics with any vendors or service providers

Event Planning & Execution: Creating exceptional in-person experiences for fellows that support learning and community.

  • Plan and run the operations for three in-person workshops for each of the 4 program cycles (12 events annually, including 8 Saturdays), including venue, logistics, materials, and staffing
  • Lead fellow communications and RSVP processes, ensuring strong engagement and attendance
  • Collect and analyze post-event feedback to improve future events
  • Improving the Fellowship through new tools and long-term operational planning.
  • Collaborate on a multi-year plan to integrate new technology into the program
  • Design rollout plans including timelines, training, and team support
  • Develop metrics to measure the success and impact of new systems or changes

ABOUT OUR IDEAL CANDIDATE

  • You have 5+ years of professional experience in a dynamic, high-accountability environment (e.g., start-ups, political campaigns, high-growth nonprofits), where you had to adapt quickly and consistently deliver under tight timelines.
  • You have experience managing major projects and/or initiatives
  • Building systems and improving processes gives you energy
  • Experience working with partners, vendors, external engagement, etc.
  • Comfortable and energized about using and learning new technology and software
  • You possess excellent organizational skills and a keen attention to detail. This is balanced with flexibility, demonstrated resourcefulness, and an ability to multitask in setting priorities.
  • You work collaboratively and build effective relationships with internal staff and external partners to meet shared objectives.
  • You have strong verbal and written communication skills and can modify your message for a variety of stakeholders.
  • You take initiative and are self-directed, but also know when to ask for help. You are willing to jump in wherever you are needed.
  • You're comfortable working in a virtual environment using virtual communication/collaboration tools, including Google Drive, Zoom, and Slack.
  • Ability to lift up to 20lbs
  • You are based in or near New York City and able to attend in-person sessions, including 2x/quarter weekend work and occasional evening work.
  • You've managed a program-wide technology roll-out or change management initiative, or process
  • You have demonstrated experience working with database or CRM tools such as AirTable
